Job description

Please Note: This is a temporary position for 18 months.

The Buyer’s Assistant is an integral member of the shop AT NAIT procurement team providing buying support to our Learning Materials Specialist and Merchandise Specialist buyers. As directed, this position will be responsible for compiling and analyzing supply needs for the procurement team, helping to build out POs and tracking orders as required.

This role is also required to provide graphic design support for custom orders. The position will help liaison with other areas of our operations to ensure supply requirements are met and delivered in a timely manner and assist with the maintenance of online webstores. We are looking for a creative and professional individual to join our team and provide outstanding customer experiences.

Key Responsibilities
  • Organizing, compiling, tracking, and recommending order quantities for learning materials and general merchandise.
  • Process program requests for buyer approval.
  • Ensure that services are continuous and not impacted by missed deadlines, product shortages, quality compromises, or inflated costs.
  • Assist with communication to vendors to ensure timely and accurate order details including customized graphic files.
  • Maintain inventory and image content for two online webstores.
  • Liaison with departments and academic groups to develop relationships and deliver exceptional customer service.
  • Liaison with other departments within shop AT NAIT to ensure accurate and speedy receiving processes.
  • Communicate special order details.
  • Understand NAIT branding guidelines to guide clientele choices.
Skills & Abilities
  • Strong Microsoft Office Suite skills are required for this role, working with Excel, Word, Adobe and creative engine applications.
  • Previous experience purchasing products for resale in a post-secondary environment (e.g. university bookstore) is highly desirable; similar experience in a large retail or service environment will also be considered.
  • Knowledge of industrial supply lines and educational resources.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Attention to detail, deadline driven, and strong organizational skills.
Qualifications
  • Experience with Retail or Service environments with a proven track record of customer service excellence.
  • Extensive experience in Microsoft Office Suite, including the full suite of creative design engine applications.
  • Experience and knowledge of creative engine software applications.
  • Completion of Grade 12 or an equivalent combination.
  • Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).
Remuneration
  • Remuneration: $44,256.94
  • $57,140.72 annually, plus a comprehensive benefits package. (Classification – Admin Support IV)

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
