This department encompasses a diverse range of program areas and locations, including Computer Studies, Design and Visual Arts, Engineering and Environmental Technologies, and Skilled Trades. Program offerings run at the Barrie Campus, the downtown Barrie location, Owen Sound, and Midland. Programs include coop work terms, field placements, and/or other experiential learning opportunities that prepare students for exciting career opportunities in technology, engineering, arts, design, and skilled trades.

Position Overview

We’re seeking a dedicated administrative professional who will play a critical role in managing financial records including budget planning and preparation, risk identification / mitigation, business case development, enrolment planning and management, supervision of staff, coordination of promotional initiatives, coordination of support for events & committees, facilities/equipment management and assistance with special projects for the Dean. Key Responsibilities
  • Plans, develops, and prepares annual budgets for the academic portfolio. Track, analyze and review monthly forecasting, prepare reforecasting for Finance.
  • Evaluates the department’s financial risk and prepares financial forecasts.
  • Analyzes monthly budget results, monitors variances, identifies trends, and recommends actions.
  • Leads the preparation of financial information for distribution to senior management.
  • Develops & monitors department processes to ensure appropriate approvals of expenditures.
  • Mitigates financial risk and ensures audit compliance.
  • Ensures quality customer service is provided in the portfolio.
  • Maintains a high level of staff performance through effective recruiting, selection, training, developing, and evaluating of direct reports.
  • Analyzes and makes recommendations regarding the support staffing requirements for the most effective coordination and deployment of human resources required to support all areas within the portfolio.
  • Acts as a contact in the resolution of issues or disputes involving support staff – this may include conducting investigation and initiating the problem-solving process using College procedures relevant to the situation.
  • Collaborates between school and Marketing & Communications for web and social media content management.
  • Oversees portfolio-specific advertising and sponsorships; work with Advancement to ensure key partnership donations are properly distributed.
  • Oversee special events – for example, Open House, Preview Days – ensures that volunteers for special events are managed.
  • Explores avenues for funding of equipment or technology for the portfolio (including CERF, AEF)– develops proposals as required – as part of a team, research vendors, recommends and procures equipment and software for academic uses.
  • Communicates changes to college procedures or practices within the portfolio.
  • Assists with the implementation of entrepreneurial experiences for students.
  • Assists Dean with special projects/initiatives.
Qualifications
  • Successfully completed a three-year diploma / degree
  • Minimum of 7 years of financial management experience including budget development and operations management.
  • Experience/Knowledge in an academic environment with exposure to scheduling, workloads, Student Information Systems is considered an asset.
  • Demonstrated ability to create financial forecasts and models via Hyperion/Cognos and performing trend analysis to identify opportunities for efficiencies is required.
  • Advanced skills in MS Word and MS Excel.
  • Demonstrated experience in Human Resources Management to effectively attract, hire, develop & supervise staff in a multi-unionized environment is required.
  • Strong understanding of information technology, business information intelligence systems/tools and web-based services.
  • Strong interpersonal skills to manage support staff and work with staff from different departments.
  • Excellent communication and conflict resolution skills.
