The Career. As Building Services Manager for a V!VA Community, you will lead and mentor a staff of approximately 10 Team Members. Reporting to the Community Director, you will be empowered to manage all aspects of the Maintenance and Housekeeping departments, and the related community resources and agencies who will work with you to ensure V!VA Mississauga provides the best in overall care for its residents. You will make working and living at V!VA Mississauga an awesome experience by continually working to improve the customer service experience and developing an innovative working environment for team members.

Key Responsibilities include but are not limited to:

Operations:

  • Plan, direct, supervise and evaluate all operational activities within the Housekeeping and Maintenance departments.
  • Manage the day-to-day operations of the Housekeeping and Maintenance departments including service contracts, systems management, and maintenance of the building.
  • Establish and implement a preventative maintenance program for all systems and equipment.
  • Establish and maintain standards of quality service as outlined in our Service Culture Standards; conducts audits including but not limited to:
    • Housekeeping and cleanliness audits
    • Maintenance audits
    • Health and Safety audits
    • Quality Assurance and RHRA related audits
  • Ensure compliance with the Retirement Homes Act and V!VA Policies and Procedures.
  • Ensure all Fire & Safety Inspections are completed and carried out; establish and oversee scheduling, completion, and follow up to all Fire Drills.
  • Provide leadership to Joint Health and Safety Committee, Fire Safety and Quality Improvement programs including conducting fire safety training for Team Members and monthly fire drill procedures.
  • Ensure the Community is well-maintained and kept to the highest standards.
  • Ensure the timely and efficient laundering of linens and/or Community Members’ personal clothing.
  • Resolve issues relating to the Housekeeping and Maintenance department in cooperation with Community Members, families, and other V!VA Team Members.
  • Manage and order operating supplies for the Maintenance and Housekeeping departments.
  • Maintain capital expenditure requirements and create schedules for capital improvements for the Building.

Leadership & Administration:

  • Participate in recruitment, selection, training, and orientation of department Team Members, ensuring effective work management.
  • Prepare New Team Member Checklist for all new hires, customizing it to meet the needs of the position and the Team Member.
  • Ensure all required training is completed before the start date and throughout employment.
  • Provide guidance, direction, and performance feedback to promote high service standards.
  • Execute performance management responsibilities including reviews and coaching.
  • Report concerns regarding workplace issues that do not contribute to a healthy environment.
  • Work closely with other departments to maintain high levels of communication and service delivery.
  • Participate in V!VA culture-related programs.
  • Support and promote our Values, Vision, and Mission.
  • Facilitate Department budgets ensuring sufficient resources and staffing levels.
  • Administer Quality Assurance program for the Housekeeping and Maintenance departments.
  • Host regular meetings for the Housekeeping and Maintenance departments.
  • Participate in a Manager on Duty schedule and be available for emergencies.
  • Provide guidance and communication to the Community Director on arising matters.
  • Participate in various meetings as required.
  • Other projects and responsibilities as assigned.

Business Planning & Monitoring:

  • Assist the Community Director with developing the annual business plan.
  • Participate in the annual budget process and manage departments based on the approved budget.
  • Set annual goals and objectives for the department and evaluate results.
  • Implement corrective strategies for budget variances.
  • Maintain required records in accordance with policies and legislative requirements.

Qualifications include but are not limited to:

  • Building Environmental Systems Certification and/or relevant education and experience.
  • Minimum of 3 years management experience in Long Term Care or Retirement Homes setting.
  • Knowledge and experience with HVAC equipment, building management systems, and safety systems.
  • Demonstrate effective leadership, organizational, and problem-solving skills.
  • Ability to work flexible hours and weekends.
  • Available for call-ins.
  • Knowledge of MS Office (Outlook, Word, Excel).
  • Up-to-date police check (vulnerable sector) verified annually.
  • Access to a car and valid Driver’s license.
