Bizzabo is looking for a skilled Billing and AR Specialist to join our amazing global Operations team. We are looking for a motivated, proactive, and positive person with strong project management skills able to organize their work. Join our dynamic operations department where we streamline processes, enhance efficiency, and drive growth. This role will be responsible for providing high-quality billing service by monitoring timely and correct invoicing, as well as effective communication with clients on receiving payments, CRM management, supporting Bizzabo’s Go-To-Market teams by assuring deals are compliant with internal policies. Additional responsibilities will include preparing and maintaining the collections analysis.

Requirements

What you’ll be doing:

  • Entering new contracts and additional agreements in the billing system;
  • Invoice creation following the standard procedure;
  • Quality control of automatically issued invoices;
  • Interaction with cross-functional divisions (finance, sales, CS) on the terms of contracts, payments, client requests, reporting, overdue receivables;
  • Monitoring customer responses, managing calls, emails incoming requests from clients, responding in a timely manner and providing customer feedback;
  • Permanent communication with clients on collections;
  • Analysis of statements of accounts, updating the accounts receivable reports;
  • Monitoring the portfolio of debtors;
  • Interaction with collectors and the legal team on debt issues;
  • Regular monitoring of client bankruptcies and legal affairs;
  • Assist with inputting data in CRM;
  • Initiate follow-up with clients on sent order forms and open opportunities;
  • Provide accurate and timely information to management;
  • Constantly improve the working process, making it more efficient;
  • Develop a strong knowledge of the company’s products and services;
Who you are
  • Minimum of 3 years of experience in Business Operations, Billing, Finance or Accounting
  • You have excellent verbal and written English communication skills
  • You participated in automating or optimizing business processes you owned
  • You have a strong proactive customer focus
  • Strong analytical and problem-solving skills, with a proven track record of improving operational efficiencies
  • Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of management and cross-functional teams
  • Proactive and positive-minded approach to work
  • Proficient in CRM software (Salesforce or similar system) and Microsoft Office Suite, with a strong emphasis on Excel
  • Hands‑on experience with financial tools and payment processing platforms (Netsuite, Stripe)
  • Using Zapier, Tray.io, Workato and/or being able to visualize business processes is a plus
  • Ability to partially support EST time zone
