Qualifications

  • 1-3 years in a Service or Logistics Coordinator role.
  • Experience with SAP is an asset.
  • Strong skills in Microsoft Office, particularly Excel.

Responsibilities

  • Dispatch service orders to technicians.
  • Verify service order entries by technicians.
  • Monitor open service orders.
  • Create and manage Service Contracts in SAP.

Job Overview

The Service Administrator will be responsible for logistics and SAP System Transactions related to service.

Job Responsibilities and Essential Duties
  • Service Dispatch: Dispatch service orders to technicians.
  • Receive and verify service order entries by technicians.
  • Confirm service orders and prepare for invoicing.
  • Monitor open service orders and follow up with technicians.
  • Service Contract: Create Service Contract offers and renewals; Enter Service Contracts and Maintenance Plans in SAP; Maintain and update Service Contract Tracking spreadsheet; Review and bill Service Contracts.
  • Equipment Management: Monitor incoming shelves, open work orders and tag incoming equipment; Monitor incoming shelves to ensure equipment is moving through the repair system in a timely fashion to meet Quality objectives.
  • Customer Assistance: Answer technical service helpline and direct calls to the appropriate technician; Assess the urgency of the calls and provide appropriate escalation if required; Issue RGA’s for customer units to be sent in for repair.
  • Test Equipment: Calibration Equipment Maintenance Scheduling (distribute and maintain current files).
  • Reporting: Open service orders, parts backorders, and ad hoc reporting.
  • General duties: Filing, voicemail box management and technician schedule.
  • Other duties as assigned by management.
  • On-site requirement: Must be on-site 1-2 times a week, or more if required.
  • Office location: Mississauga, ON
  • Experience: 1-3 years in a Service or Logistics Coordinator role
  • Education: Applicable Diploma/Certificate from an accredited institution
Required Knowledge, Skills and Abilities
  • Bilingual English and French required
  • SAP knowledge is an asset
  • Intermediate computer skills and Microsoft Office skills in Excel
  • Strong organizational skills and very detail-oriented
  • Self-motivated and a self-starter
  • Excellent interpersonal, communication, and presentation skills
