Position Overview

As the Receptionist / Office Administrator you’ll be the first point of contact for clients and play a vital role in ensuring smooth day-to-day operations. This role is ideal for a proactive multitasker who enjoys supporting both clients and internal teams with professionalism and care.

Key Responsibilities
Client Service & Communication
  • Greet and assist clients with inquiries related to policies, coverage and claims.
  • Provide clear guidance on insurance products and policy changes.
  • Build strong respectful relationships with clients by understanding their unique needs.
  • Resolve service issues efficiently aiming for first-contact resolution.
  • Maintain accurate and confidential records of client interactions.
  • Stay up-to-date on industry trends, product updates and regulatory changes.
Reception & Communication Management
  • Answer and manage incoming calls: screen, redirect and take messages.
  • Ensure timely and accurate message distribution to relevant team members.
Operational & Administrative Support
  • Manage daily operational tasks including non-payment follow‑ups and message tracking.
  • Handle bank deposits and payments with precision.
  • Process incoming and outgoing mail packages and deliveries.
  • Support sales and service teams in achieving client service and sales goals.
Office & Resource Management
  • Monitor and order office supplies to maintain inventory levels.
  • Assist with document preparation, scheduling and project coordination.
Qualifications
  • Associate’s degree or higher in office / business administration (preferred).
  • Minimum 2 years of experience in a receptionist or administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and office management systems.
  • Commitment to delivering outstanding customer service.
  • General Insurance License (Level 1 or 2) is an asset but not required at the time of interview.
  • Fully bilingual in English and French with strong verbal and written skills.
