Job summary

Aviso Wealth in Toronto is seeking a bilingual Onboarding Officer to join the Partner and Client Onboarding team. Reporting to the Manager, Operations, you will manage all aspects of onboarding for new advisors in a fast-paced environment, delivering high-quality service and ensuring compliance with CRA/IRS residency documentation.

You will partner with advisors, provide guidance on procedures in Dataphile, act as SME, coordinate with other operations teams, and maintain onboarding dashboards.

Qualifications

  • Post-secondary education or equivalent experience.
  • 2–3 years in financial industry, Operations or Service Center.
  • CSC completion preferred.
  • Excellent customer service and strong attention to detail.
  • Experience with process improvement and documentation.
  • Strong Microsoft Office skills.
  • Dataphile knowledge is an asset.
  • Role requires French; English bilingual is a strong asset.
  • Ability to work EST hours.

Responsibilities

  • Partner with Advisors and communicate effectively to ensure smooth onboarding.
  • Provide guidance and education on procedures within the Dataphile system.
  • Be the subject matter expert and answer onboarding questions.
  • Collaborate with internal operations to ensure timely onboarding and resolve concerns.
  • Update Onboarding Dashboard weekly to monitor Advisor progress.
  • Ensure CRA/IRS residency documentation compliance in account information.
  • Provide support for platform transitions, offboarding, and other partner needs.
  • Occasional travel may be required.

The Opportunity:

We are looking for an Onboarding Officer to join our Partner and Client Onboarding team.

Reporting to the Manager, Operations and working in a fast-paced environment, the Bilingual Onboarding Officer is expected to provide high-quality customer service by managing all aspects of onboarding of new advisors. The highly motivated and energetic professional ensures that all advisor, client and head office requests and inquiries are handled promptly with care and accurately, adhering to the established service levels.

What your day looks like:
  • Partner with Advisors and communicate effectively and ask questions to ensure a smooth onboarding
  • Provide guidance, support and education on procedures, forms and practices within the Dataphile system to ensure the Advisor is successful in the onboarding process
  • Be the Subject Matter Expert and answer questions that come into the Onboard Team
  • Partner internally with other areas of operations and service to ensure that onboarding is done in a timely manner and that concerns are resolved quickly
  • Update Onboarding Dashboard on weekly basis to monitor Advisor progress
  • Update account information and collaborate closely with all internal stakeholders and teams to ensure compliance with documentation related to CRA and IRS self-certification of residency status.
  • Provide additional support for platform transitions, offboarding and other specialized partner support as needed
  • This role may require occasional travel
Your experience and skills:
  • Post-secondary education and/or equivalent experience
  • Minimum of 2-3 years of experience in the financial industry, preferably in an Operations or Service Center role
  • Successful completion of the Canadian Securities Course (CSC) is preferred
  • Excellent customer service skills and strong attention to detail
  • Previous experience with process improvement and documentation
  • Strong knowledge of Microsoft Office (Outlook, Excel, Word)
  • Knowledge and experience of Dataphile is an asset
  • This role is required to conduct business in French. Bilingual in English is an asset and is strongly preferred
  • Ability to work EST standard hours

Salary

This position is posted with an expected salary range of $55,000 - $65,000 CAD annually. Individual compensation packages are based on various factors unique to each candidate and the requirements of the position.
