A community health organization in Ottawa is seeking a Bilingual Administrative Assistant to support the Diabetes Eye Screening team. The role involves client interaction, scheduling appointments, and handling administrative tasks. Candidates must have a secretarial diploma and two years of experience in a client services role. Proficiency in MS Office and excellent communication skills are essential. Knowledge of client service principles and the ability to work in diverse environments are also required. This is a term position at 17.5 hours per week with a competitive hourly wage.
Term contract ending March 2027 – working 17.5 hours / week
Pay Scale
$24.09 - $27.70/ hour

The AA, DESO provides administrative and research activity support for the Diabetes Eye Screening Ottawa team, which provide services to clients across the city of Ottawa. The main functions of this position include the calling, screening, registering and scheduling of clients for appointments along with basic office administration duties. Given that DESO is partnership between Ottawa Hospital Research Institute and the Eye Institute, there may be requirement for the AA, DESO to support with tasks related to working with our partners, such as data collection, administrative tasks related to research project.
The AA, DESO is required to be in-person at CCHC during clinic days/times (subject to change).
Secretarial diploma or equivalent training and experience
Minimum of two years experience in a direct client services role in a fast-paced environment and experience inputting data into a computer system.
Excellent listening, written and verbal communication skills.
Excellent office administration skills including the ability to maintain a comprehensive system of record keeping.
Proficient with Windows-based computer systems, in particular, email, MS Word and Excel.
Excellent interpersonal skills and ability to manage challenging situations
Demonstrated knowledge of client service principles and practices
Uses good judgement and takes initiative.
Open to flexible work schedule and location.
Excellent organizational and time management skills.
Enjoys interacting with clients over the telephone and has superior phone manners.
Excellent attention to detail even while managing competing tasks.
Team player, ability to work with people from diverse backgrounds.
Knowledge of community resources in Ottawa-Carleton.
Experience with computerized scheduling systems and electronic health records
Advanced knowledge of Excel
Knowledge of website development
Ability to communicate in other languages (Arabic, Mandarin, Cantonese, Spanish)
Interest in research
English, written and spoken
French, written and spoken
