Essential Duties and Responsibilities

The Base Material Coordinator (BMC) will report to the Inventory Manager, but will also follow the functional and compliance guidelines of the Base Manager. Their main responsibilities are as follows:

  • Know and comply with Top Aces policies and procedures;
  • Have detailed knowledge of Top Aces supply chain policies and processes;
  • Manage inventory for local stores and any satellite warehouses—counting parts and locations;
  • Manage local and/or satellite quarantine stocks—counting and locations;
  • Maintain valid certifications for hazardous and controlled materials;
  • Establish and maintain inventory of hazardous/explosive materials;
  • Maintain valid forklift operator license;
  • Oversee local transactions related to requests for proposals, purchase orders, and work orders in Top Aces computer systems;
  • If necessary, create quote requests to obtain prices and availability;
  • Coordinate necessary purchasing actions with Top Aces logistics and purchasing departments;
  • Monitor estimated delivery dates and proactively engage with suppliers to ensure on-time deliveries;
  • Communicate with local employees and Top Aces Logistics to manage and mitigate the impact of delayed orders;
  • Receive goods from various sources;
  • Perform an inspection upon arrival, then store appropriately and feed the inventory system accordingly;
  • Collaborate with Top Aces Log staff and suppliers to ensure vendor quality assurance;
  • Prepare items for shipment (packaging), following special packaging instructions if necessary;
  • Comply with DG and CG shipping requirements. Be prepared to handle routine cross-border shipments;
  • Support Top Aces safety programs and the quality management system;
  • Provide ISC support to deployed operations, under the supervision of the deployed maintenance manager;
  • Prepare parts kits for maintenance personnel;
  • Participate in training courses to maintain qualifications;
  • Participate in training and instruction of personnel in the workplace, as appropriate; and
  • Perform other related duties as assigned by the supervisor.
Education and/or Work Experience Requirements
  • Previous experience in shipping/receiving and/or inventory management;
  • Previous experience in military or commercial aviation logistics is a significant asset;
  • Excellent oral and written communication skills, including the ability to communicate effectively with internal and external customers in English. French is a significant asset;
  • Excellent computer skills (MS Office - Word, Excel, and Outlook). Experience with ERP and/or SharePoint systems is an asset;
  • You must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service;
  • The candidate must be a team player, but able to work independently with minimal supervision to perform tasks within the scope of given instructions, prescribed routines, and accepted standard practices;
  • High level of professionalism, demonstrating courtesy and respect toward team members at all times;
  • Ability to perform all tasks in accordance with company values, namely safety, teamwork, focus, and integrity;
  • Demonstrate strong and visible support for our values;

Working Conditions
  • Must be able to lift and carry up to 50 pounds.
  • Must be able to speak, listen, and express oneself clearly on the phone;
Additional Responsibilities
  • Shift work (day, night, and weekend)
  • Outdoor work in extreme weather conditions;
  • The position requires travel;
  • International travel may also be required.
Health and Safety at Work
  • OH&S (Occupational Health and Safety) training;
  • RAMCO system training;
  • Training in the handling, storage, and shipping of hazardous materials;
  • Training on safety data sheets;
  • Forklift operator license.
Security Requirements / CGP / ITAR

The position requires Level II clearance from the Canadian government and the ability to access the Canadian Controlled Goods Program.
