Job summary

University of Niagara Falls Canada seeks an Assistant Registrar - Academic Operations, Student Affairs, and Curriculum to lead Admissions, Pathways and Transfer Credit, Scheduling and Curriculum, and Student Affairs. You will provide day-to-day leadership, set service standards, ensure timely, accurate, student-centered operations, and ensure compliance with policies.

A strong background in registrarial practice and collaboration with academic leaders is required.

Qualifications

  • Bachelor-level or higher education administration experience is required.
  • Minimum five years of progressive leadership in a post-secondary registrar or enrolment services environment.
  • Experience supervising or leading teams is required.
  • Experience with transfer credit/pathway evaluation, scheduling/curriculum administration, or academic appeals is preferred.
  • Experience interpreting and applying institutional policy is preferred.
  • Experience handling confidential student information and SIS is required.

Job Title: Assistant Registrar - Academic Operations, Student Affairs, and Curriculum

Location: Niagara Falls, ON

Reports To: University Registrar

Reporting to the University Registrar, the Assistant Registrar leads four core functions within the Office of the Registrar: Admissions, Pathways and Transfer Credit, Scheduling and Curriculum, and Student Affairs. The Assistant Registrar provides operational leadership, establishes service standards, and is accountable for the quality of these portfolios, ensuring the work of the teams within them is accurate, timely, student-centered, and compliant with institutional and legislative requirements.

The position provides day-to-day leadership to the team members who manage these functions, setting priorities and standards, resolving escalated or precedent-setting issues, and driving continuous improvement. Within their assigned portfolio, the Assistant Registrar also interprets and implements registrarial policy and recommends updates as needed, working closely with the University Registrar and other key institutional stakeholders as required, on broader policy direction. The Assistant Registrar also contributes operational insight and recommendations towards institutional planning.

Leadership and Service Delivery
  • Provide leadership, supervision, and performance management across Admissions, Pathways and Transfer Credit, Scheduling, and Student Affairs.
  • Set priorities, service standards, and performance expectations for each function, with clear accountabilities to achieved required results.
  • Serve as the point of escalation for complex, sensitive, or precedent-setting cases; make decisions within delegated authority and refer high-risk matters to the University Registrar.
  • Drive quality assurance and continuous improvement across all four functions, using service metrics, case trends, and stakeholder feedback to identify and act on gaps.
  • Represent their portfolio on committees, working groups, and in discussions with academic and administrative leaders.
Admissions Administration, Advisement, and Adjudication
  • Oversee the accuracy, quality, and timeliness of admissions, pathway, and transfer-credit decisions across onshore and offshore teams.
  • Serve as the institutional escalation point for complex or non-standard admissions and transfer-credit decisions, and for questions on international credential evaluation and equivalency.
  • Implement and monitor service standards for offer turnaround and applicant/agent communication, and monitor performance against enrolment targets and pipeline volumes.
  • Ensure teams are trained and equipped to apply consistent evaluation standards for domestic and international education assessment requirements.
Academic Scheduling and Curriculum Management
  • Oversee the delivery of accurate, timely academic schedules and course/program curricular-change processing across all campuses and terms.
  • Serve as the escalation point for complex timetabling, room-allocation, and curricular workflow issues, and for policy interpretation questions raised by academic departments.
  • Implement and monitor service standards and quality checks for schedule accuracy, data integrity between the student information system and scheduling/curriculum platforms, and curricular-proposal turnaround.
  • Represent the Office of the Registrar on curriculum governance bodies and coordinate with Academic Affairs, Facilities, and IT on scheduling-related needs.
Student Affairs: Academic Integrity and Appeals Administration
  • Oversee the administration of academic and non-academic integrity cases and student appeals, ensuring procedural fairness, confidentiality, and adherence to established timelines.
  • Serve as the escalation and decision point for complex or sensitive cases, reviewing and approving case outcomes within delegated authority.
  • Implement and monitor service standards for case intake, documentation, and hearing coordination, and ensure accurate case records and reporting.
  • Support training for staff, faculty, and students on integrity and appeals procedures.
Policy Interpretation and Implementation
  • Interpret and apply registrarial policies and academic regulations within Admissions, Pathways/Transfer Credit, Scheduling/Curriculum, and Student Affairs, escalating ambiguous or precedent-setting questions to the University Registrar.
  • Recommend updates to policies and procedures within the portfolio based on operational experience, case trends, and emerging risk, and support their implementation once approved.
  • Ensure day-to-day practices in the portfolio comply with privacy, records-retention, and procedural-fairness requirements.
Reporting and Continuous Improvement
  • Monitor key performance indicators across the portfolio (e.g., offer turnaround, schedule accuracy, case timelines) and report on trends and risks to the University Registrar.
  • Recommend service, process, staffing, or system improvements based on data and stakeholder feedback.
  • Support budget planning and resource allocation for the portfolio, as delegated.
  • Perform other related duties as assigned.
Position Requirements Education And Experience
  • Undergraduate degree in Higher Education Administration, Business Administration, Education, or a related field; master's degree an asset.
  • Minimum five (5) years of progressive leadership experience in a post-secondary Registrar's Office, Enrolment Services, Admissions, or related area.
  • Experience supervising or leading teams is required.
  • Experience with transfer credit/pathway evaluation, scheduling/curriculum administration, or academic appeals is preferred.
  • Experience interpreting and applying institutional policy is preferred.
  • Experience with confidential student information and student information systems is required.
  • An equivalent combination of education and experience may be considered.
Competencies
  • Working knowledge of admissions, pathway/transfer-credit evaluation, academic scheduling/curriculum processes, and student appeals/academic integrity administration.
  • Ability to interpret and apply institutional policy and academic regulations consistently and elevate exceptions appropriately.
  • Sound judgment managing sensitive or escalated student cases with discretion, empathy, and procedural fairness.
  • Demonstrated ability to lead, coach, and hold teams accountable in a fast-paced, service oriented environment.
  • Strong analytical and decision-making skills, with the ability to use data to drive service and process improvements.
  • Excellent written and verbal communication skills for reports, recommendations, and stakeholder-facing materials.

  • Advanced proficiency with Microsoft Office; experience with Ellucian Colleague preferred
