Concordia University is seeking a data analytics professional to support the Institute for Cooperative Education. The role focuses on collecting, analyzing, and reporting data to inform student, employer, and partner insights.

The incumbent will maintain data integrity across databases, support admission and registration processes, and help prepare Institute reports. This is a four-month temporary replacement central to program operations.

Qualifications

  • Diploma of Collegial Studies (DEC) two-year; 2–4 years admin/data analysis experience.
  • Experience in data analysis and data visualization.
  • Ability to interpret data and present to diverse audiences.
  • Bilingual English/French proficiency (spoken and written).
  • Familiarity with SIS/Orbis or similar database systems.

SCOPE

Reporting to the Manager, Operations, the incumbent assists the Institute for Co-operative Education team in the effective and efficient running of the Institute’s offerings. The incumbent plays a key role in the processes related to students from admission until their graduation as related to their time as members of the Institute. They are a primary resource for proactively providing data and analytics to the Institute. The incumbent also provides support for a variety of other administrative functions.

PRIMARY RESPONSIBILITIES
  • Collect, analyze, and synthesize data from external and internal sources. Perform proactive reporting on student, employer, alumni and other stakeholder/partner data through the Institute database system, as well as other sources of data.
  • Maintain data integrity in the Institute’s databases and other data management systems, including entering and maintaining records (including student and employer profile information, naming conventions, data clarity & updates, rankings, posting statuses, etc).
  • Perform tasks related to administrative processes for the Institute’s programs, including application, admission/registration, data input (course registration, program/plan enrolment) & Institute database (student profile & sequence), modification of work-study sequences, grade input, student performance review, etc.).
  • Support dissemination of communication campaigns to students, employers, and other partners and stakeholders. Provide input on messaging and ensure communications are sent out in a timely fashion.
  • Working with the Manager, Operations staff, and Team Leads, assist in creating surveys and other means to capture information about Institute stakeholders (students, employers, partners, Concordia faculty /staff, etc.).
  • Help surface insights from Institute data on trends and information pertinent to strategic planning. Assist in the preparation of Institute reports.
  • Assess and resolve administrative issues related to data management and when appropriate, work with Operations Supervisor, Manager, and Team Leads to formulate recommendations. Propose, review and streamline processes and procedures within the office and work with other units.
  • Liaise with appropriate resource persons and/or external providers to investigate data discrepancies and ensure data integrity.
  • Assist in the implementation of strategies to assure optimum use and understanding of data sets by the Institute and its stakeholders and partners.
  • Assist in other tasks & projects in support of the Institute.
QUALIFICATIONS
  • Diploma of Collegial Studies (two year pre-university DEC) and two to four years of administrative and data analysis experience in an office environment.
  • Prior customer service experience.
  • Very good knowledge of statistical and analytical tools and techniques. A strong track record in data analytics. Good data visualization skills. Ability to interpret data and transform information into simpler terms for different audiences.
  • Excellent critical thinking, analysis and reporting skills; experience in reporting type role working with complex data to support decision making.
  • Good knowledge (Level 4) of spoken and written English and French.
  • Good knowledge (Intermediate level) of Word (mail merge, template use, formatting); and Excel (vlookup, pivot tables, linking data from multiple sources); and proficient knowledge of Outlook functions and data-entry skills.
  • Excellent organizational skills with the ability to multitask, prioritize and to meet strict deadlines.
  • Keen sense of accuracy and detail orientation.
  • Strong interpersonal and communication skills. Ability to work independently as well as part of a team.
  • Strong sense of professionalism and confidentiality.
  • Prior experience with the Student Information System (SIS) and Orbis or other database management software is an asset.
  • Prior experience working with BI tools including Crystal Reports, PowerBI, etc. is an asset.
