Job Description Summary
The Coordinator Team Lead is responsible for supervising a team of 4‑6 full‑time sessional Admissions Coordinators and performing the full responsibilities of the Admissions Coordinator (Student Info Support 4) role.
Key responsibilities include:
- Providing day‑to‑day coaching, leadership and training to a sub‑team of CUPE 2950 staff.
- Establishing service delivery standards for file updating, email communication, and information dissemination.
- Managing recruitment, hiring, and performance management of team members.
- Developing and delivering the annual training program for new and returning staff.
- Performing straightforward admissions evaluations, Personal Profiles assessments, and basic admission decisions.
- Acting as the primary point of contact for complex admissions cases and Xerox‑related printing issues.
- Identifying process improvement opportunities and implementing efficiencies.
- Providing regular reporting and communication to the Manager, Applicant Services.
Organizational Status
The Undergraduate Admissions office processes applications for more than 30 undergraduate programs across Vancouver and Okanagan campuses. The Coordinator Team Lead reports directly to the Manager, Applicant Services and collaborates with staff from other units within Enrolment Services.
Work Performed (Responsibilities)
- Oversight of all office operations for the assigned sub‑team of sessional Admissions Coordinators.
- Responsibility for HR issues including hiring, performance management, and training.
- Establishment of work priorities and workflow procedures to maximize effectiveness.
- Participation in annual staff hiring and recommendation of successful candidates.
- Delivery of extensive training program and ongoing quality assurance.
- Delegation of tasks, strategic scheduling, and staff meetings.
- Management of large volumes of work to ensure accurate, timely processing.
- Identification of opportunities for process improvement.
- Assessment of complex or high‑impact admission cases and proposal of solutions.
- Conducting straightforward admissions evaluations and decisions.
- Analysis of Canadian and International educational documents for admissibility and transfer credit.
- Administration of the Broad Based Admissions (BBA) reading and coordination program.
- Evaluation and scoring of applicant Personal Profiles.
- Assessment of prior study for transfer credit and advanced credit curricula.
- Primary contact for Xerox printing challenges, troubleshooting daily issues.
- Project work and other duties related to the job qualifications and requirements.

Inaccuracies, failure to meet deadlines, or ineffective communication can negatively impact UBC’s reputation and student admissibility. Poor team management may lead to low morale, reduced service excellence, and unmet strategic goals.
Supervision
Supervision Received: Reports to the Manager, Applicant Services. Works without direct supervision under general guidelines, exercising initiative and sound judgment.
Supervision Given: Supervises approx. 2–8 CUPE 2950 staff; oversees recruitment, training, performance management; provides leadership and guidance.
Minimum Qualifications

Preferred Qualifications
- High‑school graduation plus two years of post‑secondary education – undergraduate degree preferred.
- Minimum four (4) years of related office administration experience, preferably in a student service environment with direct customer service and supervisory responsibilities.
- Up‑to‑date knowledge of technology and intermediate proficiency with Microsoft Word, Excel, Outlook, intranet navigation, and Wiki usage.
- Competence in University systems such as the Student Information System (SIS), Student Information System Centre (SISC), and Admissions System (AS).
- Ability to multi‑task, prioritize work, meet deadlines under pressure, and maintain a positive attitude.
- Proven problem‑solving skills, creativity, and sound judgment.
- Strong interpersonal and intercultural skills with willingness to contribute to team situations.
- Effective oral and written communication, client service, and organizational skills.
- Typing speed of 50 wpm and proficiency with standard office equipment.
- Knowledge of university and department policies and procedures preferred.
- Capability to exercise tact and discretion under pressure when dealing with upset or irate individuals.
