A health services organization in Medicine Hat is seeking an Administrative Support IV to join a dynamic pharmacy team. This role focuses on providing administrative support to a large department, including staff scheduling, financial documentation, and process improvement initiatives. The ideal candidate will have post-secondary education and advanced skills in Microsoft Office Suite, particularly Excel. A minimum of 5 years of administrative experience is preferred, especially in a healthcare setting. Strong communication and data management skills are essential for success in this role.
The Admin IV position is a key member of a diverse, dynamic, and fast paced pharmacy team. This position is responsible for the administrative support of a large department encompassing 60 front line staff, 2 managers for Medicine Hat Regional Pharmacy, and 4 rural facilities. The Admin IV is a creative, accountable, and resourceful person who enjoys solving challenging problems. Duties include: staff scheduling and payroll, coordination and scheduling of committee meetings (including agenda and material preparation, minute taking and distribution), support for department management, development and management of data collection tools (e.g., Excel templates), preparation and submission of documentation related to financial activities, and active participation in process improvement initiatives.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post‑secondary education.
Post‑secondary education required (e.g., certificate in office or business administration). Expert proficiency in Microsoft Office Suite, especially Excel (data analysis, pivot tables, dashboards), Word, and Outlook. Experience with SharePoint, Teams, OneNote, and shared drive organization and maintenance. Strong data management and reporting skills, including downloading, manipulating, validating, and compiling data from multiple sources. Experience in managing financial and HR‑related tasks, such as tracking vacancies, processing timesheets, and generating variance reports. Excellent grammar and proof‑reading skills. Excels at time management with proficient organizational skills. Strong communication skills, both written and verbal, for drafting, editing, and distributing corporate documents. Able to work and problem‑solve independently. Goal oriented, results driven with high attention to detail. Demonstrates excellence and effectiveness in communication and interpersonal skills.
Minimum 5 years administrative support experience is preferred, 2 years’ experience in a health care setting is preferred, completion of a Medical Terminology course is an asset. Timekeeping and payroll experience are assets. Previous experience in process improvement processes and methodology is preferred.
