Position Summary
The Administrative Support role provides vital assistance to management, departments, and team members by coordinating administrative functions, managing communications, and maintaining organized workflows. Key Responsibilities
General Administrative Duties
- Manage calendars, schedule appointments, and organize meetings for team members or executives.
- Prepare, edit, and distribute internal communications, reports, and documentation.
- Handle data entry, record keeping, and maintenance of digital and physical filing systems.
- Assist with expense tracking, invoices, and basic bookkeeping or reporting tasks.
- Monitor company email inboxes, prioritize messages, and ensure timely responses.
Office & Team Coordination
- Support onboarding of new employees, contractors, or clients by managing documentation and orientation materials.
- Coordinate logistics for meetings, events, and company initiatives (in-person or virtual).
- Maintain an organized flow of information between departments and management.
- Assist in tracking deadlines, deliverables, and project milestones.
- Support HR or operations teams with administrative processes when needed.
Communication & Customer Service
- Serve as a point of contact for internal and external communications.
- Draft professional correspondence, emails, and client responses as requested.
- Provide friendly, efficient customer service and follow up on inquiries or requests.
- Uphold a high level of professionalism and confidentiality in all communications.
Qualifications & Requirements
Education & Experience
High school diploma or equivalent required; associate’s or bachelor’s degree preferred (in business administration or related field).
1–3 years of experience in administrative support, office coordination, or executive assistance.
Experience working in a fast-paced or professional services environment is a plus.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and / or Google Workspace.
- Familiarity with office management software, scheduling tools, and CRMs (e.g., Trello, Asana, Monday.com).
- Strong typing skills and attention to detail.
- Ability to handle confidential information with discretion.
