Responsibilities

  • Field telephone calls, handle data entry, and format documents.
  • Fill in for office receptionist when required.
  • Perform various Internet research tasks.
  • Prepare word documents, spreadsheets, and presentations.
  • Assist with board meeting preparations including coordination and setup.
  • Support overflow work from other administrative staff.
  • Manage incoming/outgoing mail.
  • Maintain office supply inventory.
  • Distribute electronic invoices.
  • Assist with additional duties as required.

Position Details

Position: Administrative Student
Location: Halifax, NS (Atlantic Canada, Canadian Buildings Division)
Duration: 4 months starting May 2026

Responsibilities
  • Fielding telephone calls, filing, and data entry, typing of various correspondence, and formatting of documents.
  • Filling in for office receptionist as required.
  • Performing a variety of Internet research functions.
  • Preparing word documents, spreadsheets, and presentations.
  • Assisting with board meeting preparation (i.e. coordination of information, preparing tabs, distribution of board material, room set‑up, and beverage/food set‑up).
  • Assisting with overflow work from other administrative staff.
  • Handling incoming/outgoing mail – relief in mailroom as required.
  • Maintaining office supply inventory and orders as appropriate.
  • Distribution of electronic invoices.
  • Additional support and duties, as required.
Qualifications
  • Must be proficient on the computer and have intermediate skills in MS software (Outlook, Excel, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Superior organizational skills and ability to manage multiple tasks effectively.
