Job summary

A local community service organization in Vancouver is seeking an Administrative Coordinator. In this role, you will implement and evaluate administrative procedures, support newcomers and refugees with settlement needs, and oversee office procedures. The ideal candidate has 2+ years of experience and strong organizational skills. This is a permanent position, offering 30 hours of work per week.

Qualifications

  • 2 years to less than 3 years of experience.
  • Proven ability to establish work priorities and meet deadlines.
  • Experience in coordinating and planning office services.

Tasks
  • Implement new administrative procedures
  • Review and evaluate new administrative procedures
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Carry out administrative activities of establishment
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
  • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Oversee and co-ordinate office administrative procedures
  • Resolve conflict situations
Support for newcomers and refugees
  • Assists with immediate settlement needs of newcomers and / or refugees (for example : housing, transportation, storage, childcare, winter clothing, etc.)
  • Supports social and labour market integration of newcomers and / or refugees (for example : facilitating access to community resources, language training, skills training, etc.)
Support for Indigenous people
  • Offers mentorship, coaching and / or networking opportunities for Indigenous workers
  • Develops and maintains relationships with indigenous communities, indigenous-owned businesses and organizations
  • Provides cultural competency training and / or awareness training to all employees to create a welcoming work environment for Indigenous workers
