Job summary

Maple Reinders Constructors is seeking an experienced Administrative Assistant to join the Safety Department at the Mississauga head office. The role involves organizing day-to-day priorities, preparing documents, and coordinating Safety Week logistics.

You will support project teams, manage meetings and communications, and handle confidential information with discretion in a fast-paced environment. This full-time role offers growth opportunities and full benefits.

Qualifications

  • High school diploma or equivalent.
  • Minimum 5 years of experience in an Administrative role.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Effective organizational and time-management skills.
  • Professional discretion when managing confidential information.
  • Fast, accurate typing skills.
  • Ability to work independently while also supporting a collaborative team environment.

Responsibilities

  • Provide administrative support to the Safety Department, helping the team stay organized, informed, and on track with day-to-day priorities.
  • Prepare, format, organize, and maintain paperwork, reports, presentations, spreadsheets, and other departmental records using Microsoft Word, Excel, and PowerPoint.
  • Create and distribute clear, professional communications and documents, including notices and updates.
  • Assist with departmental requests and special initiatives, including coordinating Safety Week logistics such as attendance lists, registrations, and event support.
  • Support project teams with filing, document assembly, record-keeping, and meeting minutes.
  • Assist office and project teams with coordinating general meetings, office and social events, and recurring coordination meetings.
  • Manage multiple requests accurately while remaining flexible and responsive to changing departmental needs.
  • Use a variety of computer programs confidently and learn new systems as required.
  • Produce accurate, timely work in a fast-paced environment.
  • Bring a collaborative, service-focused approach to the role.

About the Role

Maple Reinders Constructors is currently looking for an experienced and highly organized Administrative Assistant to join our Safety Department at our Mississauga, Ontario Head Office and play an important role in keeping the team organized, informed, and supported.

This is an ideal opportunity for an experienced administrator who enjoys being the person behind the scenes who keeps things moving. The successful candidate will be comfortable working independently, managing multiple priorities, and learning new systems and processes as needed.
