Administrative Assistant – Research Institute

Location: Montreal, Quebec (GLEN Site, 1001 boul. Décarie)

Overview

We are looking for an Administrative Assistant to support the successful conduct of the administrative operations of the Centre for Innovative Medicine (CIM) under the supervision of the Manager of Oncology Research, Centre for Innovative Medicine (CIM). The role is part of the Research Institute of the McGill University Health Centre (RI‑MUHC), a world‑renowned biomedical and hospital research centre located in Montreal, Quebec, affiliated with the Faculty of Medicine at McGill University and supported in part by the Fonds de recherche du Québec ‑ Santé (FRQS).

Responsibilities
  • Manages the day‑to‑day scheduling of patient bookings/scheduling (MEDCT Clinic)
  • Scheduling of evening and overnight nursing coverage
  • Maintains the TPO nursing schedule and rooster
  • Maintains a spreadsheet of MEDCT bookings, patients, Fellow Rotation
  • Receives and screens telephone calls, takes messages, responds to inquiries for patient referrals
  • Prioritises incoming correspondence, communications, and scheduling requests
  • Schedules all pre‑study visits between the sponsor and the site
  • Receives and responds to emails
  • Assists with the ordering and receiving of clinical supplies
  • Composes, types, translates and edits documents
  • Organises and coordinates meetings, takes, transcribes and distributes minutes with relevant documentation
  • Performs other office duties as assigned
  • Photocopies/scans documents, distributes and files accordingly
Education & Experience
  • Diploma of College Studies (DEC)
  • 2 years of experience in a hospital or clinical setting is preferred
Required Skills

  • Ability to take initiative, work under pressure, manage multiple projects and priorities
  • Attention to detail
  • Ability to generate and maintain accurate records
  • Ability to draft communications and correspondence in French and English
  • Excellent verbal and written communication skills in French and English
  • Excellent knowledge of computer applications such as Outlook, Word, Excel, Access and PowerPoint
  • Excellent organisational and ability to multi‑task and prioritise time‑sensitive issues and complete tasks within short timelines on a regular basis

Additional Information
  • Status: Temporary Full‑time (35 hours/week)
  • Pay Scale: $41,550.60 – $62,353.20 (commensurate with education & experience)
  • Work Shift: Monday to Friday 8:30am – 4:30pm
  • Work Site: GLEN Site, 1001 boul. Décarie
