Administrative Assistant

Are you a highly organized, tech-savvy professional who thrives in a fast-paced environment? As an Administrative Assistant, you’ll play a pivotal role in supporting the smooth day-to-day operations of the region, helping leaders, teams, and internal stakeholders stay coordinated and efficient.

Responsibilities
  • Executive & Operational Support
    • Manage calendars, travel arrangements, correspondence, expense reports, vacation tracking, and safety training records
    • Coordinate internal and external meetings, including invitations, agendas, presentations, minutes, logistics, and follow-ups
    • Serve as a liaison with internal and external contacts and maintain internal communication channels
  • Office & Facilities Management
    • Handle telephone reception and front desk responsibilities for the regional office
    • Manage mail, office supplies, service contractors, and building maintenance requests
    • Ensure smooth daily operations and coordinate with building services for any repairs or issues
  • Regional Team Coordination
    • Maintain distribution lists, phone directories, and SharePoint / Team sites
    • Coordinate meeting logistics, including room setup, AV support, and catering
    • Manage Duty Manager and Supervisor rotations
    • Consolidate and distribute updates, reminders, and materials
  • Budget & Expense Administration
    • Assist with SAP entries, SRO tracking, and expense submissions for supervisory staff
    • Support invoice processing and reporting as needed
  • Technical & Systems Support
    • Process SailPoint and system access requests
    • Provide Power BI reporting and troubleshooting support for server and office equipment issues
    • Handle service requests and general clerical support
  • Learning & Onboarding
    • Act as Workday Learning Administrator: update offerings, pull reports, and track ILT completions
    • Support onboarding processes and learning administration
  • Community Investment & Stakeholder Engagement
    • Provide quarterly spend updates and reports for regional leadership meetings
    • Coordinate submissions and media announcements for programs like Project Zero and Project Assist
    • Support municipal advisors and stakeholders with community and event coordination
