What will you do?

Reporting to the Siemens Digital Industries (DI) Sales Acceleration Manager, as Administrative Assistant, you will actively support the Digital Industries core management team by providing both operational and strategic support.

Responsibilities
  • Provide administrative support (virtual and in‑person) – booking travel arrangements, event coordination, organizing meetings and conferences, processing invoices, reconciling travel and expense reports.
  • Manage calendars for the Digital Industries core management team to enable leadership effectiveness.
  • Coordinate the preparation and distribution of information in advance of upcoming meetings.
  • Handle all incoming and external phone and email requests, ensuring customer and business priorities are maintained and information flow is monitored on behalf of sales management.
  • Independently prepare correspondence in an accurate and professional manner.
  • Manage mail distribution and locker allocations.
Systems & Tools
  • Coordinate ordering of mobile and IT hardware for team members as required.
  • Support onboarding and off‑boarding of employees.
  • Catalogue ordering for office supplies and promotional items through Siemens tools such as MyMall (Amazon, Prominate).
  • Manage the end‑to‑end process for translation requests for announcements, including portal submission and vendor coordination, serving as liaison between requester and vendor to ensure timely and accurate delivery.
Employee Experience & Enablement
  • Assist DI employees in navigating internal tools and systems to enhance operational efficiency and employee experience.
  • Assist DI employees with IT‑related issues, offering support and guidance to resolve or escalated concerns for a seamless productive work environment.
  • Act as a key point of contact and backup for the Digital Industries Management Team Assistant as required, including vacation coverage.
Location

This is a hybrid role requiring in‑office presence 1‑3 days a week in the Oakville, ON office.

Education

A post‑secondary degree or diploma in Business Administration or a relevant field.

Experience
  • Minimum 3 years of experience in an administrative support role in a corporate setting.
  • Demonstrated experience supporting and working effectively with senior management.
  • Experience working in a complex, matrix environment.
