Overview

Reporting to the Director, Human Resources, the incumbent is responsible for a high level of confidential administrative support to the Human Resources department, including a combination of reception and administrative functions and executive assistant support for the Director, Human Resources.

Responsibilities
  • Serve as the first point of contact for the department, receiving and directing inquiries in person, via email, and on the phone.
  • Provide project, event, and logistical support for the department.
  • Manage the Director’s calendar, maintain a system of operational records, generate routine reports and materials, and track financials for the department.
  • Maintain an in‑depth understanding of the priorities of the Director and the Human Resources team, and present respectfully when interacting with senior administrators, faculty, staff, students, librarians, and community members.
  • Work independently with limited direction, exercising judgment, tact, diplomacy, confidentiality, and discretion in all aspects of the role.
Required Qualifications
Education

Post‑secondary degree or diploma or acceptable equivalent combination of education and experience. Coursework in Human Resources, CHRP designation, or pursuit of a CHRP designation is an asset.

Experience

Minimum of two (2) to three (3) years of administrative assistant experience, preferably in a human resources department or an educational institution. Experience planning and coordinating projects and events is strongly preferred. General knowledge of Human Resources legislation, policies, and procedures is an asset.

Skills

Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint); excellent verbal and written communication skills; accurate keyboarding skills; working knowledge of HRIS, FIS, USource, and Drupal/website content management systems preferred.
