Job summary

Gibraltar Mine is seeking an Administrative Assistant to support the HR department with strong organization and confidentiality. The role requires multitasking, prioritization and meeting deadlines in a full-time capacity at our Mcleese Lake site.

Key duties include maintaining employee files in Avanti HRIS, coordinating events, handling letters, benefits enrollment, housing logistics, and coordinating meetings and catering as needed.

Qualifications

• High School Diploma or equivalent.
• Administrative Assistant Certificate is an asset.
• 2+ years in an intermediate-level admin support role.
• Experience with HRIS systems, Avanti is preferred.

Responsibilities

• Maintain accurate employee files and update Avanti HRIS.
• Coordinate events, quarterly meetings and related activities.
• Greet employees/visitors and provide general assistance.
• Administer benefits enrollment and terminations.
• Prepare letters and announcements, including union notices.
• Coordinate housing for new tenants and arrange maintenance.
• Process invoices and support other HR team members.

Role Overview

Provide administrative support to the Human Resources Department with a high level of organization, coordination, and confidentiality. This role requires the ability to multitask, prioritize, and meet required deadlines.

Core Responsibilities

• Maintain accurate employee files and update information in Avanti HRIS.
• Support the planning and coordination of company-sponsored events, quarterly meetings, and related activities.
• Greet employees and visitors entering the administration office, direct them as needed, and provide general assistance.
• Administer the employee coverall and safety boot programs.
• Generate and distribute vacation hours, lieu days, and Family Responsibility Days reports to Foremen.
• Administer the company benefits program, including coordinating employee benefits enrolment and terminations.
• Prepare and issue letters, memos and announcements including:
  • Employment verification letters
  • Notifications to the Union
  • Promotion and New Hire Announcements
• Serve as the primary contact for charter bus services, ensuring routes remain accurate and any issues are addressed promptly.
• Coordinate company housing, including preparing accommodations for new tenants, arranging cleaning services, and coordinating property maintenance.
• Coordinate meetings and catering services as required.
• Process invoices by ensuring appropriate coding and submitting them to Accounts Payable for timely payment.
• Assist and support other members within the HR department.

Education & Experience

• High School Diploma or equivalent.
• Administrative Assistant Certificate and/or Post-secondary business coursework is considered an asset.
• At least two years' experience in an intermediate-level administrative support role.
• Experience working with Human Resources Information Systems (HRIS).

Skills & Competencies

• Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
• Excellent filing and document management skills.
• Strong verbal and written communication skills.
• Ability to maintain accuracy and pay close attention to detail.
• Possess and maintain a valid driver's license.
