Job description

Reporting to the Senior Vice President, Legal Affairs, the Administrative Assistant will play a key role in supporting the daily operations of the Legal Affairs department. You’ll manage administrative files, prepare and review documents, and track important deadlines to ensure the department runs smoothly.

Your attention to detail and organizational skills will help maintain electronic file databases, coordinate meetings, and assist with invoice approvals and permit renewals, all while providing professional support to the legal team.

About the role: Administrative Assistant

As the Administrative Assistant, you will oversee day-to-day file management, draft and format letters, presentations, and other materials, and conduct basic research to support legal file preparation. You will also manage the department’s email inbox and ensure timely follow-up with internal and external stakeholders.

You’ll coordinate and schedule meetings, manage the Senior VP’s calendar, collect signatures, and assist paralegals with permits and licenses—all in a fast-paced environment where your ability to prioritize and work independently is essential.
