We’re growing and we’re looking for an exceptional Administrative Assistant to support our Chief Administrative Officer (CAO) and help streamline business operations with poise, professionalism and precision.

Role

The Role : Administrative Assistant to CAO (with HR Support)

You’re not just an assistant — you’re the right hand to our CAO. You thrive in fast-paced environments, have a keen eye for detail and possess the organizational prowess to keep multiple priorities on track. Responsibilities
  • Proactively manage and optimize the CAO’s calendar, meetings and travel arrangements
  • Anticipate needs, stay a step ahead and adapt plans as priorities shift
  • Organize and lead internal events and executive team initiatives
  • Assist in HR processes including onboarding and offboarding, ensuring a smooth and professional employee experience
  • Prepare agendas, briefing documents and follow-ups for key meetings
  • Create and maintain checklists, org charts, process flowcharts and other business-critical documentation
  • Support financial admin tasks including monthly Visa reconciliation
  • Liaise on behalf of the CAO with internal and external stakeholders, handling sensitive communication with discretion
  • Coordinate travel arrangements (flights, hotels, transportation) when needed
  • Jump in on cross-functional projects or provide support to other Executives as required

What You Bring to the Table
  • 3 years as an Administrative Assistant supporting C-level executives
  • Strong experience in project coordination, HR processes and calendar management
  • Tech-savvy: proficient in MS Office, Google Workspace, DocuSign, Visio, Trello, SharePoint, HRIS systems (e.g. Collage) and YouTrack
  • Exceptional written and verbal communication skills
  • Impeccable attention to detail and time management
  • Unflappable under pressure and able to handle confidential matters with integrity
  • A proactive can-do mindset — you’re always one step ahead
  • Bonus: Experience in project management or PMP certification
