Administrative Assistant and Clerk

The Pro-Vision Academy is a Texas Public Charter School that services students from grades 3-12 in the south side of Houston. We have been living our purpose for over 28 years. Our Vision: The vision of the Pro-Vision Academy is to provide a small, safe intimate environment where teachers can more effectively identify and address individual student needs. Through academics, cultural enrichment, professional counseling, life skills training, mentoring, parental involvement, community service, and sports and recreation, student are transformed into intelligent and well-rounded young adults.

Purpose: Under general supervision, performs standard and some advanced secretarial and/or administrative duties, as well as independent project assignments. Position requires knowledge of practices and procedures of the department and district policy and procedures.

Responsibilities
  • Answer phones, record messages, assist callers or re-direct inquiries to the appropriate individual or department
  • Draft and prepare correspondence to include letters, memos, and matrices for display of statistical reports, forms, and minutes of meetings
  • Create and maintain databases
  • Processes communications for district wide dissemination
  • Assemble and monitor all files, records, calendar of appointments, and other related events
  • Coordinate with other administrative staff
  • Schedule appointments for department management and staff
  • Assist with receiving, storing and issuing supplies
  • Serve as support clerk to Special Education Department and provide administrative support as requested
  • Serve as support clerk to Athletic Department and provide administrative support as requested
  • Comply with Federal Educational Records Privacy Act (FERPA) regulations and assists with FERPA training if needed;
  • Assist with school events such as Parent Orientation, Open House, school outings, and field trips; assists with school surveys.
  • Assist parents, students, and faculty with questions regarding student attendance
  • Attend all training sessions set forth by the district
  • Interact with vendors
  • Assist with processing uniform orders
  • Performs other job-related duties as assigned
Minimum Required Qualifications
  • High School Diploma or GED required
  • Two (2) years PEIMS and Child Nutrition Program experience preferred
  • Two (2) years administrative required

  • Excellent problem-solving and conflict resolution skills
  • Knowledge and experience in handling complaint and grievance hearings
  • Demonstrates commitment and dedication to fulfilling all job requirements

  • General Web proficiency and familiarity with Web-based instructional platforms
