Role

Reporting to the Director – Business Development of the MDA business unit, the Administrative Assistant provides administrative support to the senior leadership team. The incumbent handles details of a highly confidential and critical nature with tact and diplomacy. Position requires knowledge of the company’s operations, policies and people.

Responsibilities
  • Coordinates and schedules meetings, conferences, and visitors for the senior leadership team
  • Manages the Directors calendars, including adding events, rescheduling appointments and providing daily briefings
  • Oversees all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
  • Collects and prepares information or presentation material for use in discussions and meetings
  • Drafts communications
  • Conducts research and creates reports on various topics based on the needs of the leadership team
  • Processes all expense reports per company travel policies. Reconcile AMEX statement and receipts
  • Keeps important information and documents organized physically and electronically
  • Handles travel arrangements for the leadership team
  • Supports Business Development events and visits
  • Supports sales proposal submission efforts
  • Provides any other related administrative support
Minimal Qualifications
  • College diploma. Bachelor degree preferred.
  • 5+ years’ experience in an Administrative Assistant role.
  • Strong analytical, administrative, organizational and problem-solving skills. Able to multi-task.
  • Excellent skills with Microsoft Outlook, Word, Excel, PowerPoint and various web conferencing tools.
  • Detail oriented; accuracy is essential in the preparation of reports and presentation materials.
  • Team player and willing to work outside normal hours occasionally.
  • Excellent time management and a professional demeanor.
  • Proficient in both French and English, oral and written (department reporting to Ontario head office).

Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP).
