The Role

We are currently seeking a motivated and detail-oriented Administrative Assistant to join our dynamic Maintenance Operations team. This is a fully remote position based in Montreal, with the opportunity to play a key role in supporting day-to-day operations and project coordination. While the role is primarily remote, occasional travel to client locations within the Montreal area may be required.

You’ll be responsible for a variety of administrative tasks, including data management, financial tracking, and communication with vendors and clients. This role is ideal for someone who thrives in a fast-paced environment and is looking to grow within a supportive and people-first company.

Key Responsibilities
  • Maintain and update internal databases with a high level of accuracy
  • Prepare reports and manage records efficiently
  • Perform basic accounting tasks, including invoicing and payment processing
  • Provide administrative support to the maintenance operations team
  • Communicate effectively with vendors, clients, and internal team members
  • Support and monitor maintenance-related projects as needed
  • Representing IGC in project meetings with internal and external stakeholders
  • Attend pre-project and progress meetings, complete documentation, and assist with scheduling when needed
  • Build and maintain strong relationships with clients, suppliers, and subcontractors
Core Skills / Qualifications
  • Fully bilingual in French and English (required)
  • Strong proficiency in Microsoft Excel, Word, and Outlook (required)
  • Proficiency in QuickBooks and sound knowledge of accounting principles (required)
  • Knowledge of plumbing or facility maintenance is a strong asset
  • Excellent communication and interpersonal skills
  • Detail-oriented with strong organizational and time-management abilities
  • Ability to handle sensitive information with discretion
  • Self-motivated, reliable, and capable of working under pressure
  • Positive attitude and a collaborative, problem-solving mindset
