Job summary

A Canadian HR consulting firm in Ottawa is seeking an experienced administrative professional for an onsite role. The ideal candidate will manage scheduling, assist with briefing materials, and ensure proper documentation of meetings. Applicants must have at least 23 months of experience within the past 5 years using Microsoft Office Suite within the Government of Canada. This position is full-time with no hybrid or remote work options.

Overview

Location - 60 Moodie Dr. 5 days a week, onsite - no hybrid/remote option available

Responsibilities
  • Inform CCSI and key staff of schedules, locations and agenda topics.
  • Bring forward previous CCSI topic records, as required, to enable analysts.
  • Collect and collate analysis of agenda topics from assigned stakeholders.
  • Assist the SGC to prepare CCSI briefing materials.
  • Collect, distribute and archive records of decisions and/or read‑outs from meetings.
  • Assist SGC to track and report on action items assigned to CCSI.
  • Assist SGC to proactively administer all secretarial functions relating to governance activities for which CCSI is a chair or co‑chair (i.e., JCSC, DSB, SRBs, etc.), including:
    • Booking appropriate online and/or physical meeting locations for pre‑briefs and meetings, as required.
    • Administering meeting agendas and invitations.
    • Collecting briefing materials from participants, and cohering content into presentation briefing decks.
    • Taking detailed notes and drafting records of decision / discussion.
    • Disseminating and archiving records of decisions / discussion.
    • Tracking, collecting and distributing information, as required by action items assigned in records of decision / discussion.
Qualifications
  • Mandatory: Have 23 months experience within the past 5 years using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) within the Government of Canada. Provide one reference to confirm these skills.
