Overview

Position: Administrative Assistant | Location: In-office, Oshawa, Ontario | Job Type: Full-time, Permanent | Reports To: Department Manager

We are looking for a highly organized and detail-oriented Administrative Assistant to join our team in this full-time, in-office position. The primary focus is on supporting the day-to-day administrative needs of the team, ensuring smooth operations across various departments. There are opportunities to collaborate on creative design projects, including brochures, websites, and other promotional materials.

Responsibilities
  • Provide comprehensive administrative support to the company, ensuring the smooth execution of daily tasks
  • Assist the in-house Marketing team with formatting brochures, logos, flyers, websites, promotional materials, tradeshow preparations, and PowerPoint presentations as needed
  • Format company forms and documents, including creating fillable PDFs
  • Manage office supply orders and handle local pickups for various office needs
  • Perform miscellaneous errands using a personal vehicle; access to a personal vehicle is required
  • Support the Marketing team with administrative tasks, helping to streamline project workflows
  • Contribute to creative projects as opportunities arise, allowing you to learn and expand skills in areas such as graphic design and web design
  • Perform other duties and projects as assigned
Qualifications
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Experience with Adobe Acrobat and the ability to create fillable forms is an asset
  • Basic familiarity with design programs (e.g., Photoshop, Illustrator, Adobe XD) is a plus, with opportunities to learn more on the job
  • Strong attention to detail and the ability to manage multiple tasks in a fast-paced environment
  • Experience in web design (e.g., Wix) or content creation for digital and print formats would be considered an asset, though not required
  • Valid driver’s license (G or G2) and access to your own vehicle daily is required
Education and Experience
  • High school diploma or equivalent
  • Administrative experience preferred, with an interest in creative fields seen as an advantage
Working Conditions

Office environment with extended periods working at a computer. Ability to work independently as well as collaboratively within a team. Ability to work under minimal supervision while meeting deadlines.
