Job summary

A community organization in Ontario is seeking an Administrative Assistant to provide vital administrative support for admissions and program operations. The ideal candidate will have administrative training and preference will be given to individuals of Anishinaabe ancestry. Responsibilities include reception duties, scheduling meetings, and providing executive administrative support. This is a full-time contract position covering parental leave for 12 months.

Qualifications

  • Completion of a college diploma or certificate in Office Administration or related field is required.
  • Preference for individuals of Anishinaabe ancestry with relevant knowledge.
  • Mature individual able to work independently.

Job Overview:

The Administrative Assistant is responsible for providing administrative support for admissions, management and general program operations. The successful candidate will have the ability to multi-task and prioritize time‑sensitive matters in a confidential setting.

Roles and Responsibilities:
Administration and Operation
  • Responsible for reception duties for the program.
  • Responsible for executive administrative support.
  • Responsible for scheduling meetings and minute taking.
  • Responsible for incoming and outgoing mail and other correspondence.
  • Responsible for other administrative duties as required on a day-to-day or project basis.
  • Responsible for assisting the Admissions Coordinator as needed.
  • Maintain flow and dissemination of mail and other documents to relevant parties.
  • Other administrative duties as required.
Qualifications:
  • Minimum requirement is completion of a college diploma or certificate in Office Administration, Medical Administration or related field with relevant training; or combination of post‑secondary education and relevant work experience.
  • Preference given to an Individual of Anishinaabe ancestry with knowledge and understanding of Anishinaabek history, clan systems, protocols, etiquette, cultures and traditions.
  • Demonstrated professional level of interpersonal and communication skills (written and verbal).
  • Ability to prioritize multiple responsibilities and projects.
  • Mature individual who can work independently with preference given to individuals living a traditional lifestyle and being on a life‑long journey in traditional knowledge.
Requirements:
  • Possess a valid Ontario class ‘G’ driver’s license in good standing with access to a reliable vehicle.
  • Able to provide clean driver’s abstract and vulnerable sector check.
  • Ability to work outside normal business hours as required.
