JOB STATEMENT

Worldsource is seeking a highly organized and detail-oriented Administrative Assistant to support our executive team with a variety of administrative tasks. The ideal candidate is proactive and capable of handling multiple priorities with precision and professionalism.

RESPONSIBILITIES
  • Providing administrative support to senior executives;
  • Managing complex calendars, scheduling meetings, and coordinating travel arrangements;
  • Coordinating logistics for meetings, conferences, and special events (both virtual and in-person);
  • Managing expenses, reimbursements, and invoice processing;
  • Handling correspondence and communications on behalf of executives;
  • Preparing and editing documents, reports, and presentations;
  • Maintaining organized digital filing systems and ensuring sensitive information is handled with confidentiality;
  • Taking meeting minutes and following up on action items, as needed; and
  • Supporting other team members and departments, as needed.
QUALIFICATIONS
  • Post‑secondary degree preferred
  • 2+ years of experience supporting senior executives or in a high‑level administrative role
  • Strong organizational, time management and multitasking skills
  • Excellent verbal and written communication skills
  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Professional demeanor and ability to maintain confidentiality
  • Adaptable, reliable, and eager to learn
