Overview

We are seeking two focused and meticulous Administrative Assistants to join our client’s professional team in Halifax, Nova Scotia. The ideal candidates will be highly organized, attentive to detail, and capable of managing sensitive and confidential information. These roles will provide support to a busy and dynamic department where accuracy, discretion, and efficiency are essential.

Responsibilities
  • Create, edit, and format documents, spreadsheets, and presentations
  • Prepare and fill regulatory documents and filings
  • Compile reports and department financial data
  • Process invoices and review payroll time entries
  • Maintain filing systems and SharePoint sites
  • Arrange meetings and events, manage calendars and e-mail, and make travel arrangements
  • Take meeting minutes and track action items
  • Coordinate, track, and participate in quarterly safety meetings
  • Track communications and emails from various agencies
  • Perform quality assurance checks on daily filings, ensuring accuracy and attention to detail
Experience & Attributes for Success
  • Proven experience in a similar administrative support role, preferably within a professional or corporate environment
  • Proficiency with Microsoft Office Suite and SharePoint
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
