Administrative Assistant – Grande Prairie, AB

Airswift is seeking an Administrative Assistant to join one of our major energy oil & gas clients in Grande Prairie, AB. This is an initial 6-month contract with a huge possibility to be extended.

Roles and Responsibilities
  • Answering and directing phone calls
  • Greeting and assisting visitors
  • Managing and distributing incoming and outgoing mail
  • Maintaining office supplies inventory and ordering new supplies for the main office and field offices
  • Completing general orders for building maintenance, including office furniture
  • Coordinating general office maintenance, including snow removal, lawn care, gravel delivery, cleaning services, septic, and potable water
  • Handling administrative requests and queries
  • Performing data entry
  • Assisting with the onboarding of new employees
  • Liaising with clients, suppliers, and other staff
  • Managing the corporate credit card, including making authorized purchases, tracking expenditures, and ensuring timely reconciliation of statements
  • Managing distribution lists and phone lists
  • Gathering and submitting contractor hours
  • Updating the internal communication page
  • Managing security management software for the main office
  • Supporting social club events
  • Preparing catering for town halls
  • Coordinating IT requests for field locations
  • Assisting the fleet admin with prepping new and outgoing fleet vehicles
  • Completing PPE and vehicle safety equipment orders
  • Supporting administrative team members with various ad hoc tasks as needed
Requirements
  • Valid Driver's license
