Administrative Assistant

This position offers a full‑time schedule from Monday to Friday, 2:00 PM to 10:30 PM. Join one of Canada’s leading third‑party logistics companies as an Administrative Assistant. You will be the face of the transportation team, overseeing shipments and truck drivers, and entering critical information into the company’s warehouse management system. Key tasks include handling Bills of Lading and Proof of Deliveries, managing communications with the shipping and receiving team, and addressing inquiries from drivers and customers.

Responsibilities
  • Serve as the primary point of contact for the transportation team, managing the check‑in and check‑out process for shipments and truck drivers.
  • Input Bills of Lading (BOLs) and Proof of Deliveries (PODs) into the internal database using the warehouse management system.
  • Communicate effectively with the shipping and receiving team to address inventory discrepancies.
  • Handle inbound and outbound calls from drivers requiring directions and customers inquiring about their deliveries.
  • Redirect callers to the appropriate personnel or assist with issues related to damaged or lost items.
Essential Skills
  • 1+ year of clerical or administrative experience, ideally in the distribution or transportation industry.
  • Proficiency in Microsoft Office, including Excel and Outlook.
  • Strong command of the English language to communicate across multiple departments.
  • Experience and comfortability in a blue‑collar environment such as transportation, manufacturing, or HVAC.
Additional Skills & Qualifications
  • Previous experience in the freight or trucking industry is advantageous.
  • Familiarity with the Truckmate warehouse management system is a plus.
  • Ability to adapt to a dynamic and busy environment with new systems being implemented.
Work Environment

The work schedule is Monday to Friday from 2:00 PM to 10:30 PM. The role is based in the front terminal office, which accommodates around seven people at a time. The office is a bustling blue‑collar environment, frequently visited by drivers and warehouse staff. The team is welcoming and fosters a family‑like atmosphere. A thick skin and good sense of humor are beneficial for thriving in this environment. The company offers a stable work environment with potential for permanent placement, along with benefits and pension options.
