Job Title: Administrative Assistant

Location: Edmonton, Alberta (Onsite – 5 Days per Week)

Employment Type: Contract (Full-Time)

Contract Duration: December 3, 2025 – March 31, 2026

Interview Mode: Virtual (Interviews expected to begin November 27)

About the Role

We are seeking an Administrative Assistant to provide professional, reliable, and detail-oriented administrative support to the Branch Administrator within the Client. This role is ideal for a proactive individual with excellent communication and organizational skills who thrives in a fast-paced, collaborative environment.

You will play a key role in calendar coordination, email and document management, and support day-to-day branch operations while ensuring accuracy, efficiency, and confidentiality across administrative processes.

Key Responsibilities
  • Manage and coordinate the Executive Director’s calendar, scheduling meetings and appointments efficiently.
  • Organize and maintain shared email inboxes, ensuring messages are categorized, prioritized, and addressed promptly.
  • Maintain accurate and organized electronic and physical filing systems to ensure quick access to key records.
  • Prepare correspondence, reports, and presentations, providing high-quality administrative assistance to leadership.
  • Support branch operations, handling additional administrative tasks as assigned.
  • Collaborate with internal teams to promote seamless communication and workflow across departments.
  • Participate in mandatory training programs including FOIP, cybersecurity, and workplace conduct modules.
Mandatory Skills & Qualifications
  • High School Diploma or GED (required).
  • 1+ year of experience using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficient in Microsoft Outlook for scheduling, task tracking, and correspondence management.
  • Strong organizational skills with high attention to detail.
  • Proven ability to manage multiple priorities and meet tight deadlines.
  • Excellent verbal and written communication skills, with professionalism in stakeholder interactions.
  • Available to work onsite in Edmonton, AB (Monday to Friday, 8:00 AM – 4:30 PM).
Preferred Skills
  • Post-secondary education in Office Administration (certificate, diploma, or degree).
  • Experience editing or formatting documents using Adobe Acrobat Pro or similar PDF tools.
  • Familiarity with public sector records management and archiving standards.
  • Prior experience providing administrative support in government or public-sector environments.
