Job summary

A leading fire protection service provider in Calgary is seeking a full-time Administrative Assistant. The role involves planning daily operations, managing contracts, and providing customer service. Ideal candidates should have a non-university diploma and experience in office administration is preferred. This position requires working on-site with no remote options available.

Qualifications

  • Experience of 1 to less than 7 months.
  • Work must be completed at the physical location; no remote option.

Responsibilities

  • Open and distribute mail and other materials.
  • Plan and organize daily operations.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines.
  • Schedule and confirm appointments.
  • Manage contracts.
  • Answer telephone and relay telephone calls and messages.
  • Compile data, statistics and other information.
  • Respond to employee questions and complaints.
  • Order office supplies and maintain inventory.
  • Organize staff consultation and grievance procedures.
  • Arrange travel, related itineraries and make reservations.
  • Greet people and direct them to contacts or service areas.
  • Set up and maintain manual and computerized information filing systems.
  • Type and proofread correspondence, forms and other documents.
  • Provide customer service.
