About Administrative Assistant

As a casual/part-time administrative assistant at Viewpoint, you will provide flexible, part-time, administrative support, performing tasks such as answering phones, greeting visitors and offering assistance, handling correspondence, assisting with data entry, and maintaining office organization.

Key Responsibilities:

  • Reception coverage, including greeting assessors, examinees, and visitors, and offering assistance to ensure the highest level of customer service
  • Ensuring examinees are promptly checked in, assessors are notified, and all appropriate service forms are completed and signed
  • Calling scheduled transportation for examinees, where applicable
  • Notifying all appropriate parties of changes to appointments and any changes to the schedule
  • Data entry
  • Printing, scanning, uploading, photocopying, and filing documentation
  • Record management
  • Maintaining office organization
  • Preparing assessment rooms for examinees
  • Providing support to staff and management, including handling correspondence
  • Answering phone calls promptly in a professional and welcoming manner
  • Maintaining the highest level of privacy of personal information and personal health information
  • Performing cross-functional responsibilities as assigned

Qualifications

  • Relevant post-secondary/community college education
  • 3 years’ experience working in a client service, administrative position, or medical facility
  • Proficient computer efficiency (Microsoft Office, Outlook, Internet, Adobe Acrobat)
  • Solid and effective verbal and written communication skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
