Job Summary

The Accounts Payable Analyst is responsible for ensuring the timely and accurate processing of accounts payable. Accounts Payable is responsible for ensuring that all requests for payment are properly authorized and supported with appropriate documentation. In addition, it is critical that this individual reviews expenditures in order to ensure that they are in compliance with budgets and recorded properly in the organization's books and records.

Please note that this is a 5‑day on‑site position

What You Will Do
  • Process accounts payable including vendor invoices, petty cash, employee expense claims and rent cheques.
  • Prepare urgent cheques as required.
  • Access and download all utility invoices obtained online from various vendors.
  • Obtain and match all receipts paid on various credit cards; match, code, and process for payment.
  • Forward all invoices that require approval to the correct manager via the Paper Save software.
  • Ensure all processed invoices are legitimate, correctly coded, properly authorized and within LOFT’s expense and procurement policy.
  • Verify coding includes correct HST rebate calculation, accurate allocation of expenses, and proper vendor information.
  • Upload invoice information into the accounting software (Great Plains) for payment processing.
  • Process cheques and EFT payments accurately, ensuring vendors are paid promptly.
  • Maintain the computerized vendor file and contract agreement files.
  • Reconcile vendor statements and follow up as needed to keep records current.
  • Contact program director or approver to adjust or correct invoices.
  • Perform other duties as required.
What You Bring
Must Haves
  • Minimum one to two years of accounting experience.

  • Experience with MS Dynamics Great Plains, Paper Save, and MS Office (Word and Outlook).
Work Environment
  • Combination of walking and sitting for long periods.
  • Use of office equipment and computers.
  • Frequent lifting or moving up to 10 pounds and occasionally up to 25 pounds.
  • Work at a desk, conference table, or in meetings of various configurations.
