Job summary

EPiQVision Inc. in Toronto seeks an Accounting & Finance Specialist to maintain accurate financial records, manage core processes (AP/AR, reconciliations, month-end), and support project profitability.

You will collaborate with management, Sales, Project Management, and external accounting partners to ensure financial data is timely and decision-ready. The role requires understanding of job costing, invoicing for events, and experience with QuickBooks and project-based accounting.

Qualifications

• Minimum 1-3 years of bookkeeping, accounting, or finance experience.
• Post-secondary education in Accounting, Finance, Bookkeeping, Business Administration, or a related field.
• Experience supporting finance functions in a fast-paced environment.
• Experience with month-end close and account reconciliation.
• Experience working with P&L statements and financial reporting.
• Experience with project accounting or job costing.
• Experience in the live events, production, or audio-visual industry is considered an asset.
• Basic payroll knowledge and familiarity with payroll-related processes.

Responsibilities

• Process vendor invoices and employee expense reports accurately and on time.
• Ensure invoices receive appropriate approvals and are coded correctly.
• Maintain accurate records within QuickBooks and other financial systems.
• Maintain the Chart of Accounts and ensure transactions are consistently classified.
• Assist with credit card reconciliations and the collection of supporting documentation.
• Respond to internal and external inquiries regarding account status and discrepancies.
• Support month-end and year-end financial processes.
• Coordinate event billing and assist with project reconciliation to ensure timely and accurate invoicing.
• Review completed event files for billing accuracy.
• Assist with reconciliation between Flex Rental Solutions and accounting records.
• Coordinate with Project Managers and Sales Managers to ensure timely invoicing.

Job Summary:

The Accounting & Finance Specialist is responsible for maintaining accurate financial records and managing core accounting processes, including Accounts Payable, Accounts Receivable, credit card and bank reconciliations, month-end reconciliation, project accounting, and financial reporting.

This person will work closely with management, Sales, Project Management, Operations, and external accounting partners to ensure that financial information is accurate, up to date, and useful for business decision-making.

We are looking for someone who doesn't simply enter transactions into QuickBooks. You should understand why a transaction is being entered, where it belongs, how it affects the P&L, and how it impacts the profitability of an individual event or project.

This person would preferably have experience within the live events industry. Candidates with experience in audiovisual production, event production, hospitality, equipment rental, film or television production, construction, professional services, or other project-based businesses will also be considered.

We are also looking for someone with an understanding of job costing and project profitability is particularly important. Our projects move quickly. Client deposits, vendor invoices, freelance labour, equipment rentals, transportation, venue expenses, credit card purchases, and customer invoices can all relate to a single event. The successful candidate must be able to ensure those transactions ultimately come together to provide an accurate financial picture of the project.

Key Responsibilities:

• Process vendor invoices and employee expense reports accurately and on time.

Vendor and Subcontractor Management

• Maintain accurate supplier and subcontractor records.
• Process subcontractor invoices, administer payments, and maintain positive vendor relationships.

Dext, Plooto & Workflow Management

• Process supplier invoices through Dext.
• Prepare electronic payment batches through Plooto for approval.
• Ensure all supporting documentation is attached and audit-ready.
• Monitor payment statuses and resolve exceptions.

Collections & AR Follow-Up

• Monitor customer accounts and follow up on outstanding balances.
• Prepare aging reports.
• Assist management with collection activities.
• Communicate professionally with clients regarding overdue invoices.

Event-Specific Financial Administration

• Coordinate event billing and assist with project reconciliation to ensure timely and accurate invoicing.
• Review completed event files for billing accuracy.
• Assist with reconciliation between Flex Rental Solutions and accounting records.
• Coordinate with Project Managers and Sales Managers to ensure timely invoicing.

What You Bring

Education & Experience

• Strong working knowledge of Microsoft 365 applications.
• Experience with CRM systems; familiarity with Flex Rental Solutions is considered an asset.

Accounting Knowledge

• Understanding of accounts payable and accounts receivable processes.
• Experience in preparing and posting journal entries.
• Knowledge of HST filing requirements and sales tax administration.
• Experience performing account and general ledger reconciliations.
• Understanding of month-end close procedures and financial reporting processes.
