The Health Centre is currently recruiting for the following position :
Accounting Coordinator
Full Time Permanent (1.0FTE) 37.5 hours per week
Compensation: $52,931.21 - $63,772.45 per annum
Position Summary
As a member of the Finance Team the Accounting Coordinator performs a variety of accounting functions as assigned including recording transactions, journal entries, reconciliations and reporting.
Responsibilities
Revenue Management
- Process and maintain records of all revenue received such as Ministry of Health, Ontario Health Association, funding agencies and partners, donations and accounts
- Prepare reports and invoices for funders as assigned.
- Prepare and record bank transactions.
Financial Accounting
- Process accounts payable and expense reports: ensure coding is consistent with budget and follow up on discrepancies with other staff as needed.
- Process cheques & EFTs and coordinate with the signing process.
- Prepare accounts.
- Prepare AR statements, aged receivable reports and maintain allowance for doubtful accounts.
- Prepared adjustments and journal entries as needed.
- Perform account reconciliations.
- Maintain and reconcile general petty cash, staff program floats and petty cash.
- Maintain Chart of Accounts.
Reporting
- Prepare internal financial statements, balance sheets and other reports as assigned.
- Prepare working papers for the annual reports.
- Prepare statutory reports such as HST Rebate and others as required.
- Download payroll journal entry and import to General ledger.
Payroll
- Act as backup for HR & Payroll Assistant when required to prepare payroll submissions as directed by the Finance Manager including:
- Compile time sheets and review for completeness.
- Enter all payroll data (earnings and deductions) and attendance data for salaried and hourly employees.
- Prepare electronic payroll file for processing.
- Process data to the external payroll.
- Download payroll journal entry and import to General ledger.
Additional Responsibilities
- Maintain financial files and documents.
- Make recommendations to management for development and/or revision of policies.
- As a Student Supervisor provide orientation, ongoing support, coaching and monitoring to meet the requirements of the Health Centre and educational institutions.
- As a Volunteer Supervisor provide support, training, monitoring and ongoing communication as needed for the volunteer to successfully fulfill their position description.
- Work during both regular and extended hours (evenings) as determined by the Health Centre.
- Participate in team and staff meetings and other meetings and committee work as appropriate to support both service delivery and organizational operations.
- Collect, analyze and report on data and relevant information and participate in research as determined by the Health Centre.
- Contribute to the Health Centre's practices of hiring, orienting and training staff.
- Work individually and collaboratively in the development and implementation of quality improvement initiatives.
- Work in a manner that preserves privacy and confidentiality.
- Work in a manner that ensures client safety and minimizes risk to clients, volunteers and the Health Centre.
- Work in a manner consistent with the Health Centre’s Vision, Mission and Guiding Principles.
- Work in a manner that demonstrates self‑reflection and personal accountability for work performance.
- Adhere to all CHCKW policies.
- Maintain a valid driver’s licence and access to reliable personal vehicle with adequate insurance for work‑related travel in accordance with CHKW policy.

- Participate in research as determined by the Health Centre.
- Adhere to appropriate infection control practices including immunizations.
- Perform any other duties as assigned by the supervisor.
Accountability: The position is accountable to the Finance Manager.
Qualifications
- Post‑secondary diploma or certificate in accounting.
- Minimum of two years of experience performing full‑cycle accounting up to and including trial balance, preferably in a non‑profit.
- Experience preparing financial reports, forecasts and government documentation.
- Minimum of one year of experience utilizing Microsoft Dynamics Great Plains accounting.
- Experience in a non‑profit and fund accounting environment is an asset.
- Knowledge of Canadian payroll practices and experience with electronic payroll is an asset.
- Proficiency in the use of a personal computer and software programs including Microsoft Office, email and other relevant applications.
- Experience with OHRS is an asset.
- Excellent organizational and time‑management skills.
- Demonstrated ability to communicate effectively in English both written and verbally.
- Ability to work independently as well as an effective member of an interdisciplinary team.
- Ability to work collaboratively.
- Ability to maintain strict confidentiality.
- Experience working sensitively with culturally and economically diverse populations.
- Ability to obtain a Police Vulnerable Sector Check satisfactory to the Health Centre.
- Experience with 2‑Factor Authentication for Outlook (Microsoft Authenticator) required; use of a personal mobile device with a recent operating system.
Hours: 37.5 hours per week. Monday / Tuesday / Thursday: 9am–5pm. Wednesday: 9am–5pm or 12pm–8pm based on clinic requirements. Fridays: 8am–4pm or 9am–5pm.
