Position Overview
The incumbent is responsible for the academic planning and administrative duties related to the delivery of the College Foundations, English for Academic Purposes, Indigenous Studies and Communications programs. This includes the SWF/loading/scheduling process, the budget process, data management, and interacting with other Academic Officers, Deans, Coordinators, Faculty, staff, and others who are external to the College. The primary responsibility is for a wide range of administrative duties related to delivering College-wide General Arts & Science and Communications courses for all programs on the Barrie Campus.

Key Responsibilities
- Collect information in order to forecast number of sections of General Education and Communications required to meet campus-wide projected enrolments, Program run dates, University articulation agreements, multiple levels of Communication courses and F/T Faculty SWF’s
- Planning and recommending number and size of sections for coming academic year considering campus-wide involvement across all years, blending combinations, cross-program shared courses, and lecture/labs linkages
- Producing annual workload assignment request package for faculty to complete
- Compiling assignment request information to draft workload assignments for full-time faculty for Associate Dean’s approval; producing SWF’s for workloads approved by the Dean
- Determining sections to be taught by non-full-time faculty; assisting the Manager in assigning courses to NFT faculty; ensuring that payroll forms are completed for NFT faculty.
- Comparing campus-wide actual enrolment to projected enrolment; recommends adjustments to sectioning and affected full-time and non-full-time faculty workloads and implements approved adjustments.
- Providing detailed information to Scheduling on how campus-wide courses are to be scheduled; coordinating the sharing of sections between multiple programs and departments; coordinating the submission of timetable parameters; resolving timetable problems with the scheduler; reviewing, correcting and finalizing timetables; and resolving scheduling conflicts
- Preparing detailed analysis of the non-full-time faculty costs annually and by semester; recommending NFT budget to the manager; submitting final NFT budget as per required format; adjusting if enrolment causes changes to the NFT budget.
- Prepare and track all departmental PPF’s-full-time and non-full-time.
- Compiling data from various sources (spreadsheets/databases developed by the incumbent, Banner SIS/FIS, spreadsheets/databases developed by other departments)
- Analyze internal campus-wide information; flag and inform Academic Areas of discrepancies to ensure accuracy of campus-wide data.
- Creating reports for the Dean or other managers by compiling campus-wide program/enrolment information for specific purposes
Qualifications
- Successfully completed a three-year postsecondary diploma / degree in a relevant field of study that may include, but is not limited to business or office administration
- Five years’ experience in an information, analyzing and compiling data, producing / generating reports, and providing administrative support to a diverse group of stakeholders
- Advanced level computer skills, and experience in database / information management using Microsoft Office Suite (i.e. Excel, Access)
- Demonstrated communication (written and oral) and interpersonal skills to respond to inquiries and provide guidance and / or assistance to others
- Pro for compiling, analyzing, and accurately reporting on data from various sources / systems
- Demonstrated organizational and planning skills with the ability to be flexible and multitask to meet conflicting deadlines
- Demonstrated experience with finance and budgets including the ability to quickly and accurately track, compile, and summarize numerical information and financial reports
- Proven ability to design / re-design and implement tracking, analysis, and reporting mechanisms for on-going financial performance monitoring
- Demonstrated conflict resolution and problem-solving skills with the ability to make day-to-day decisions as required
- Proven ability to take initiative, work independently as well as an effective team member
- Experience in an academic environment working with a student and / or financial information system (preferably Banner or PeopleSoft) are assets
