Qualifications

  • Master's degree required in a relevant field (PM/IT/engineering).
  • Minimum 5 years of experience coordinating multiple projects.
  • PRINCE2, PMP, Agile or Scrum certification is an asset.

Who we are supporting

The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO's member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.

  • Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO's communication networks and information systems against cyber threats.
  • Command and Control Systems: The NCIA develops and maintains the systems used by NATO's military commanders to plan and execute operations.
  • Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.
  • Electronic Warfare: The NCIA provides electronic warfare services to support NATO's mission to detect, deny, and defeat threats to its communication networks.
  • Information Management: The NCIA manages NATO's information technology infrastructure, including its databases, applications, and servers.

Overall, the NCIA plays a critical role in ensuring the security and effectiveness of NATO's communication and information technology capabilities.

Assistance and Advisory Service (AAS)

The NATO Communications and Information Agency (NCI Agency) is NATO's principal C3 capability deliverer and CIS service provider. It provides, maintains and defends the NATO enterprise-wide information technology infrastructure to enable Allies to consult together under Article IV, and, when required, stand together in the face of attack under Article V.

To provide these critical services, in the modern evolving dynamic environment the NCI Agency needs to build and maintain high performance-engaged workforce. The NCI Agency workforce strategically consists of three major categorise's: NATO International Civilians (NIC)'s, Military (Mil), and Interim Workforce Consultants (IWC)'s. The IWCs are a critical part of the overall NCI Agency workforce and make up approximately 15 percent of the total workforce.

Role Duties and Responsibilities
  • Support the planning, coordination and monitoring of technical projects and activities, ensuring that milestones, deliverables and deadlines are appropriately tracked.
  • Coordinate project-related activities across technical teams, management and other stakeholders, ensuring effective communication, alignment and timely follow-up.
  • Develop and maintain project documentation, including project plans, schedules, action trackers, risk and issue registers, status reports and meeting minutes.
  • Monitor project progress and performance against agreed plans, milestones and objectives, identifying delays, risks, dependencies and potential issues.
  • Prepare regular management and project status reports, dashboards and presentations, providing clear and accurate information on progress, risks, issues and required decisions.
  • Organize and support project meetings, workshops and governance activities, including preparing agendas, coordinating participants, recording decisions and following up on agreed actions.
  • Act as a central coordination point for project-related information and communication, facilitating collaboration between technical teams, project stakeholders, management and external suppliers where applicable.
  • Support resource, workload and activity planning, maintaining visibility of ongoing priorities, assignments and project commitments.
  • Contribute to the continuous improvement of project coordination and governance processes, identifying opportunities to improve planning, reporting, communication, documentation and overall delivery effectiveness.
Essential Skills, Experience and Certifications
  • A Master's degree in Project Management, Business Administration, Information Technology, Engineering, or another relevant field.
  • A minimum of 5 years of professional experience as a Project Coordinator, Project Support Officer, PMO Officer, Project Assistant, or in a similar role supporting the coordination and delivery of projects.
  • Demonstrated experience coordinating multiple projects or workstreams simultaneously within a complex organizational environment.
  • Proven experience in developing and maintaining project plans, schedules, action trackers, risk registers, and project documentation.
  • Professional certification in PRINCE2, PMP, Agile, Scrum, or a similar project management framework would be considered an asset.
