Spektrum is seeking an IT Logistics & Asset Management Specialist to support CIS equipment lifecycle at CSU Brussels. You will manage requisitions, receipts, storage, distribution and disposal with accurate asset records and logistics documentation.

Working on-site in Brussels, you will coordinate with technical, warehouse and logistics teams to meet operational requirements, ensure compliance with SLAs, and contribute to continuous process improvements.

Qualifications

  • Higher vocational training in a relevant discipline with related post-qualification experience.
  • Secondary education with relevant post-qualification experience accepted.
  • Vocational training in Supply, Logistics, or Supply Chain Management is required.

Responsabilités

  • Maintain accurate property and asset accounting records for CIS equipment.
  • Manage full lifecycle of CIS assets including requisition, receipt, storage, distribution, transfer, exchange, movement and disposal.
  • Maintain data in the logistics management system and LOG database, and support annual inventories.
  • Coordinate with technical staff to ensure correct CIS/ICT equipment is requested based on needs.
  • Ensure compliance with procedures, SLAs and NATO regulations.

The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO’s member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.

The NCIA provides a wide range of services, including:

  • Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO’s communication networks and information systems against cyber threats.
  • Command and Control Systems: The NCIA develops and maintains the systems used by NATO’s military commanders to plan and execute operations.
  • Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.
  • Electronic Warfare: The NCIA provides electronic warfare services to support NATO’s mission to detect, deny, and defeat threats to its communication networks.
  • Information Management: The NCIA manages NATO’s information technology infrastructure, including its databases, applications, and servers.

Overall, the NCIA plays a critical role in ensuring the security and effectiveness of NATO’s communication and information technology capabilities.

The program

Assistance and Advisory Service (AAS)

The NATO Communications and Information Agency (NCI Agency) is NATO’s principal C3 capability deliverer and CIS service provider. It provides, maintains and defends the NATO enterprise-wide information technology infrastructure to enable Allies to consult together under Article IV, and, when required, stand together in the face of attack under Article V.

To provide these critical services, in the modern evolving dynamic environment the NCI Agency needs to build and maintain high performance-engaged workforce. The NCI Agency workforce strategically consists of three major categorise’s: NATO International Civilians (NIC)’s, Military (Mil), and Interim Workforce Consultants (IWC)’s. The IWCs are a critical part of the overall NCI Agency workforce and make up approximately 15 percent of the total workforce.

IT Logistics & Asset Management Specialist

Role Background

The IT Logistics & Asset Management Specialist will provide logistics, warehouse, and asset management support for Communication and Information Systems (CIS) equipment at CSU Brussels.

The role covers the complete lifecycle of CIS assets, including requisition, receipt, inspection, storage, distribution, transfer, inventory, movement, accountability, and disposal. The specialist will maintain accurate asset records, support warehouse operations, coordinate with technical and logistics teams, and ensure equipment is delivered correctly and on time.

Role Duties and Responsibilities
  • Maintain accurate property and asset accounting records for CIS equipment.
  • Manage the full lifecycle of CIS assets, including requisition, receipt, storage, distribution, transfer, exchange, movement, and disposal.
  • Maintain accurate information within the logistics management system and LOG database.
  • Support periodic and annual inventory inspections.
  • Reconcile inventory records and resolve asset discrepancies.
  • Monitor warehouse operations, including receiving, inspection, labelling, storage, and issuance of equipment.
  • Monitor incoming and outgoing deliveries and shipments.
  • Verify the quantity and quality of equipment received.
  • Coordinate with technical staff to ensure the correct CIS/ICT equipment is requested based on operational and user requirements.
  • Work closely with the Logistics Section Head, logistics staff, warehouse personnel, and asset account holders.
  • Process and document logistics and asset management transactions.
  • Prepare and maintain logistics documentation, asset records, and supporting reports.
  • Ensure logistics activities comply with applicable procedures, policies, performance standards, and Service Level Agreements (SLAs).
  • Identify opportunities to improve logistics processes, operational efficiency, and asset accountability.
  • Perform assigned responsibilities independently with limited supervision.
  • Support additional activities as directed by the Logistics Section Head.
Essential Skills
  • Strong understanding of logistics and IT asset management processes.
  • Understanding of asset acquisition procedures.
  • Experience managing ICT/CIS equipment and its lifecycle.
  • Practical experience with Oracle ERP Logistics and Asset Management modules.
  • Ability to understand and advise on the technical aspects of ICT equipment.
  • Experience with inventory management and asset accountability.
  • Experience supporting warehouse activities.
  • Ability to maintain accurate logistics and asset records.
  • Experience compiling, checking, recording, and processing administrative forms and documentation.
  • Ability to coordinate effectively with technical, warehouse, and logistics teams.
  • Good organizational and administrative skills.
  • Ability to work independently with limited supervision.

Desirable skills include:

  • Experience with NATO resource management tools.
  • Oracle Business Intelligence for Logistics and/or Microsoft Power BI.
  • Microsoft Excel and SharePoint.
  • Knowledge of NATO CIS asset regulations and NATO HQ logistics regulations.
  • Knowledge of NATO responsibilities and organization, including ACO and ACT.
  • Experience working in an international military and civilian environment.
Experience

Candidates must meet one of the following:

  • Higher vocational training in a relevant discipline + minimum 2 years of relevant post-qualification experience , or
  • Secondary education + minimum 4 years of relevant post-qualification experience.

Relevant experience should include:

  • Logistics and asset management.
  • ICT/CIS equipment lifecycle management.
  • Inventory and warehouse operations.
  • Oracle ERP Logistics and Asset Management.
  • Asset acquisition processes.
  • Logistics documentation and administrative processing.
Educations
  • Higher vocational training in a relevant discipline with at least 2 years of relevant experience, or secondary education with at least 4 years of relevant experience.
  • Vocational training in Supply, Logistics, or Supply Chain Management is required.
Working Location

Brussels, Belgium – CSU Brussels

Working Policy
  • Full-time on-site.
  • Physical presence is required for most daily activities due to the logistics and warehouse responsibilities.
  • Normal non-smoking office environment.
  • No travel required.
  • Required start date: 11 October 2026.
  • Contract end date: 31 December 2026.
  • Total scope: 418 hours.
  • NATO Secret security clearance is required
