The Executive Assistant to the Brussels Chief Representative will provide high-quality organisational, administrative, and coordination support to EJF’s Chief Representative in Brussels, helping ensure that EJF’s EU advocacy and engagement are effective, well-coordinated, and impactful.
The role will provide broad exposure to the organisation’s campaigns and their impacts. The successful candidate will work closely with the Chief Representative and colleagues across EJF, supporting engagement with EU institutions, Member States and other stakeholders.
This is a varied, fast-paced role suited to someone who combines organisational skills with political awareness, sound judgement, and a strong interest in both the EU and EJF’s campaigns. The successful candidate will be able to manage multiple priorities, anticipate needs, handle sensitive information with discretion and build constructive relationships with a wide range of stakeholders.
The role will also involve representing EJF in meetings and stakeholder engagements and ensuring effective follow-up. We are therefore looking for someone confident engaging with senior stakeholders, able to grasp policy issues and comfortable representing EJF’s interests quickly.
The role is particularly suited to someone who enjoys being at the centre of a busy team, can build constructive relationships with a wide range of people, and is interested in developing their understanding of the EU and environmental advocacy.
Help manage the Chief Representative’s priorities.
Track actions, deadlines and follow-up across the Chief Representative’s engagements.
Provide ad hoc organisational and administrative support.
Review selected documents and materials for clarity, consistency, accuracy and alignment, flagging issues or points requiring attention.
Prepare and draft correspondence, briefing notes, presentations and other materials.
Help coordinate meetings with EU institutions, Member States, partners and other stakeholders, including agendas, briefings and follow-up.
Represent EJF at meetings and stakeholder engagements, as needed, and report back effectively on key discussions and follow-up.
Support the organisation of Brussels-based meetings, events and advocacy activities.
Coordinate effectively with EJF colleagues across campaigns, communications and operations.
Demonstrable commitment to EJF's vision, mission and values and a determination to change the world for the better.
Fluency or working proficiency in English and French.
Demonstrable experience in an Executive Assistant, coordination, administrative, advocacy or similar role.
Excellent organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
Excellent attention to detail and a high level of accuracy and reliability.
Confident and professional interpersonal skills.
Ability to work independently, use initiative and anticipate needs.
Strong interest in EU policy, environmental issues and/or advocacy.
Ability to handle sensitive information with discretion.
Experience working in an EU NGO, public affairs, political, governmental or international organisation.
Familiarity with EU institutions and decision-making processes.
Experience supporting or participating in meetings with senior stakeholders.
Experience drafting briefings, correspondence and presentations.
Experience organising events, roundtables or stakeholder engagement.
