Working closely with engineering, program, quality and compliance teams, you'll help ensure information is secure, accurate and accessible, while supporting governance, change management and regulatory compliance activities. Acting as a key coordination point for Data and Configuration Management activities, you will support stakeholders across the program and contribute to the effective delivery of governance and information management outcomes.

This opportunity is located in Sydney, NSW. Applications from Newcastle, NSW and Canberra, ACT will be considered.

Key Responsibilities
  • Oversee the installation, configuration and ongoing administration of Data Management System (DMS) tools and associated information management platforms.
  • Apply Data and Configuration Management processes to ensure the accurate identification, control, distribution and integrity of program information and technical data.
  • Manage the secure exchange of information between internal and external stakeholders, ensuring compliance with sensitive information and security requirements.
  • Compile, maintain, manipulate and analyse program data to support reporting obligations, records management activities and the ongoing management of the Program Process Asset Library.
  • Coordinate and monitor program activities within Jira, including raising, assigning and tracking tasks, while providing Data and Configuration Management guidance to program personnel.
  • Ensure compliance with export/import controls, customer requirements and organisational procedures in collaboration with key program stakeholders, including the Export Compliance Coordinator.
  • Coordinate and guide reviews of controlled documentation, progressing documentation and change requests through established review, approval and Configuration & Data Management (CDM) processes.
  • Manage controlled documentation throughout its lifecycle, ensuring accuracy, traceability and compliance with governance requirements.
  • Coordinate and facilitate program governance activities, including review boards, change boards, meeting minutes, actions and decision tracking.
  • Coordinate problem reports and manage software, hardware and documentation changes through to implementation and resolution, maintaining configuration integrity throughout the change process.
What You'll Bring

You'll bring experience working with controlled documentation, records management or enterprise data systems, combined with strong stakeholder engagement skills, attention to detail and a commitment to data integrity, compliance and continuous improvement.

You will bring:
  • Proven experience using document editing and publishing tools to prepare, review and manage controlled documentation.
  • Strong experience working with PTC Windchill or other Enterprise Product Data Management (PDM) systems.
  • Demonstrated experience using collaboration and task management tools such as Jira, Confluence and SharePoint.
  • Experience in records management and document control practices, including managing secure, sensitive or controlled information.
  • Strong interpersonal, stakeholder engagement, communication and organisational skills, with the ability to work effectively across multidisciplinary teams.
  • A proactive approach to problem solving and continuous improvement.
  • Proficient in AI prompting as it applies to this position and practice.
Highly Desirable
  • Demonstrated experience using PTC Windchill in a Defence or engineering environment.
  • Experience managing export-controlled data and compliance requirements.
  • Previous experience working within the Defence industry or a similarly regulated environment.
  • Understanding of Configuration Management, Data Management or program governance processes.

If you're excited by this opportunity but don't meet every criterion, we'd still love to hear from you. Your skills and experience may be a great fit for this role, or another opportunity within our organisation.
