Qualifications

  • Proven ability to prepare meeting agendas, take minutes, and handle confidential information with discretion.

Job description

At St John of God Midland Public Hospital, we provide a comprehensive range of services including emergency medicine, critical care, day chemotherapy, paediatric care, aged and stroke care, maternity and general surgery.

Our 307-bed public hospital is operated under a public-private partnership between the State Government and St John of God Health Care.

Our Services include wide range of public health care services for people in Midland and surrounding communities. Our services include 24-hour emergency care, public maternity care, Aboriginal pregnancy and maternity support through Moort Boojari Mia, acute mental health treatment and medical and surgical care.

About the role

As a Personal Assistant, you will provide high-level secretarial and administrative support, ensuring the smooth and efficient day-to-day operation of your directors. Working in a fast-paced environment, you will manage a broad range of administrative responsibilities while maintaining a professional, responsive, and customer-focused service.

Partnering closely with key stakeholders, you will coordinate complex diaries, manage communications, support committee activities, and facilitate the flow of information across the department. This role is integral to enabling Hospital Management Committee (HMC) members to perform effectively by providing comprehensive email, diary, meeting, and committee support, while ensuring priorities are managed efficiently and confidentially.

You will be joining a highly supportive and collaborative Hospital Management Committee, known for its positive culture, approachable leadership, and commitment to teamwork. This role offers a high degree of autonomy and trust, enabling you to take ownership of your work and contribute meaningfully to the team’s success. As you build relationships and demonstrate your capability, you will be empowered to work independently and make the role your own.

The role is ideally suited to someone who is exceptionally organised, proactive, and adaptable. No two days are the same, and priorities can shift quickly in a dynamic healthcare environment. You will thrive on managing multiple tasks, anticipating needs, and responding to changing demands with professionalism, flexibility, and sound judgement.

The role is offered on a permanent, full-time basis working 38 hours per week.

Key responsibilities
  • Provide high-level personal, secretarial, and administrative support to Directors in a busy healthcare environment.
  • Manage complex calendars, emails, phone enquiries, and confidential correspondence with professionalism and discretion.
  • Coordinate meetings, prepare agendas and meeting papers, take minutes, and monitor follow-up actions.
  • Organise travel, events, functions, office resources, and electronic approval workflows to support efficient operations.
  • Maintain accurate filing systems, records, and administrative processes while identifying opportunities for continuous improvement.
  • Build positive relationships with internal and external stakeholders, creating a welcoming and professional experience for visitors and colleagues.
Your skills and experience

You will have proven experience in a Personal Assistant or senior secretarial role, providing high-level support to senior leaders in a fast-paced environment. With advanced Microsoft Office skills, exceptional typing and data entry capabilities, and experience preparing meeting agendas and taking minutes, you will consistently deliver accurate, high-quality work while managing competing priorities and maintaining strict confidentiality.

Equally important are your outstanding interpersonal and communication skills, which enable you to build strong relationships with executives, managers, caregivers, and external stakeholders. You will be confident preparing professional correspondence, reports, presentations, and other documentation on behalf of senior leaders, ensuring all communication is clear, accurate, and of a consistently high standard. A proactive, customer-focused approach and the ability to remain organised under pressure will be key to your success in this role.

  • Salary: $ 88,500 to $90,250 per annum plus 12% superannuation
  • Permanent full-time position.
