A.S.E.H. Property Services invites applications for a dedicated Paralegal to join our Hawthorn, VIC team on a full-time basis, supporting the Head of Property and General Counsel with essential administrative and substantive legal duties in property matters.

You will manage case files, coordinate conveyancing, review contracts, perform due diligence and title searches, and prepare documentation for regulatory matters while maintaining confidentiality and professional standards.

Qualifications

  • Certificate IV or Diploma in Legal Studies/Paralegal Studies (or equivalent)
  • Strong written and verbal communication; ability to draft clear legal documents
  • Excellent organisational and time management; keen attention to detail
  • Experience in property conveyancing or leasing matters, ideally in-house
  • Sound understanding of conveyancing and property settlement processes
  • Ability to manage multiple tasks and prioritise workload
  • High level of discretion, integrity and confidentiality
  • Experience using property title search platforms (InfoTrack, Landata) and PEXA is advantageous
  • MS Office: intermediate to advanced skills

Responsibilities

  • Provide administrative support to the Head of Property and General Counsel, including case files management and settlements
  • Coordinate conveyancing with external lawyers/conveyancers and internal stakeholders to progress matters
  • Assist with property law matters: contract review, due diligence and title searches
  • Manage document control and registers, including Power of Attorney and certification
  • Prepare documentation for compulsory acquisition, notices of breach, EPA and regulators
  • Process invoices related to property and legal matters
  • Prepare regular and ad hoc reports as directed
  • Maintain confidentiality and adhere to professional standards

About the role

We are seeking a dedicated and organised Paralegal to join our team at our Hawthorn VIC office on a full-time basis. In this role, you will play a crucial part in supporting our legal team by providing essential administrative and substantive legal support to the Head of Property and the General Counsel. As a Paralegal, you will be responsible for assisting with various property law matters, ensuring that cases progress smoothly and efficiently. This position offers the opportunity to develop your legal career whilst working with experienced professionals in a supportive environment.

Key responsibilities
  • Providing administrative support to the Head of Property and General Counsel, including managing case files, scheduling settlements & maintaining accurate records
  • Coordinating conveyancing transactions with external lawyers & conveyancers & with internal stakeholders to ensure matters progress & settle on time
  • Assisting with property law matters, including contract review, due diligence and title searches
  • Managing document control, including Power of Attorney, certification of documents, safe storage of documents and document registers
  • Assisting with preparation of documentation relating to compulsory acquisition, notices of breach, Environmental Protection Authority (EPA), other regulators & other property matters
  • Invoice and financial administration of invoices relating to property & legal matters through approval & payment
  • Preparing regular and ad hoc reports as directed by the Head of Property and General Counsel
  • Maintaining confidentiality and adhering to professional and ethical standards
What we're looking for
  • Certificate IV or Diploma in Legal Studies/Paralegal Studies (or working towards) or equivalent experience in paralegal or legal support role
  • Strong written and verbal communication skills, with the ability to draft clear and concise legal documents
  • Excellent organisational and time management abilities, with keen attention to detail
  • Demonstrated experience, ideally gained in-house, in supporting property, conveyancing or leasing matters in a law firm or corporate property/legal environment
  • Sound understanding of the conveyancing and property settlement process
  • The ability to manage multiple tasks and prioritise workload effectively
  • High level of discretion, integrity and confidentiality
  • Experience using property title search platforms (eg; InfoTrack, Landata) and PEXA is advantageous
  • Intermediate to advanced skills in Microsoft Office
