Job Description:

The Operations & Marketing Associate will report into the VP of Strategy and Operations to start, and may report to another executive in the future. This is a cross‑functional administrative role that works alongside much of the team in coordinating various business aspects from marketing, sales, to general executive support. You will be exposed to all aspects of the business and be expected to assimilate quickly. This role is a critical early hire within a fast‑scaling 12‑person team that expanded from just 3 people earlier this year and is preparing for its next phase of growth.

Here’s what you’ll work on:
  • Lead project management for local and international conferences, handling everything from sponsorships and travel logistics to exhibitor booth design, materials, and promotional items. This will roughly be 30‑40% of your role.
  • Contribute to the creation of marketing, PR, and training materials for clinics and pharmacies.
  • Make design updates to promotional assets and presentations.
  • Develop compelling copy for marketing emails, including crafting targeted email sequences for prospective customers.
  • Create design briefs and coordinate social media planning and content production.
  • Manage leads and contacts within the CRM, schedule outreach, and assist the sales team in lead‑generation efforts, ensuring accurate customer information consolidation.
  • Provide operational support to the sales team and the customer experience team.
  • Ensure efficient documentation and filing processes across the organisation, identifying and implementing internal process improvements.
What you’ll bring:
  • A minimum of 3+ years of experience in a marketing or operations role.
  • Experience developing copy for marketing/PR purposes.
  • Ability to travel—domestic and international—up to 20% of the year.
  • Ability to take initiative and effectively manage your schedule.
  • Ability to multi‑task and effectively prioritise business critical tasks.
  • Flexibility in hours to meet international timezones and urgent deadlines.
  • Strong written and verbal communication skills.
Nice‑to‑Haves:
  • Previous startup experience.
  • Previous experience with conference planning and organisation.
  • Previous experience in healthcare and/or fertility.
  • Experience with Adobe Illustrator, InDesign, Canva.

  • Location: Melbourne preferred; 4 days in‑office.
