Responsibilities

  • Provide generalised administrative support to MD and management.
  • Record, generate and distribute meeting agendas, minutes and action lists.
  • Schedule and organise management meetings including interstate meetings.
  • Draft and manage internal communications on behalf of MD.
  • Respond to queries or requests for information for the MD.
  • Collate and distribute business reports for MD (e.g., Branch Manager reports).
  • Plan, organise, and manage internal meetings, events and functions for the MD.
  • Coordinate meeting room requirements and travel as needed.
  • Raise and manage POs for business charges.

The Opportunity

We are looking for an experienced Leadership Support Officer/Executive Assistant to join our team on a 12 month contract basis. This role will provide coordination and administrative support to the Managing Director, assist the Management Team, and support the business with general operations and administrative tasks.

Responsibilities include;

  • Provide generalised administrative support to MD, and at times wider management team.
  • When requested, record, generate and distribute meeting agendas, minutes, and action lists for management.
  • Schedule and organise management meetings as required including attending interstate meetings.
  • Where required, draft, dispatch and manage internal communication pieces on behalf of MD.
  • Respond to queries, or requests for information on behalf of the MD.
  • Liaise and work with department heads and Branch Managers to compile and distribute various business reports for MD. For instance, Branch Manager reports.
  • Plan, organise, book, and manage internal meetings, events, and functions on behalf of the MD.
  • On behalf of Management team, organise meeting room requirements in advance of meetings.
  • When requested, reconcile Credit Cards by using approved processes and systems.
  • For certain management team members, perform internal travel coordinator duties and plan and book travel requirements.
  • Assist in administrative tasks pertaining to trade shows or industry events.
  • Other duties as directed by MD.
  • Assist with additional responsibilities as required.
  • Manage all Wilson & Bradley fleet vehicles.
  • Manage phone and data connections for all employees.
  • Assist and manage project as assigned by the MD.
  • Manage and coordinate update of content on WBNest (Intranet).
  • General office support such as maintenance, stationery and food orders.
  • Raise and manage POs for various business charges.
