Job description

VINCI GROUP – SPIECAPAG AUSTRALIA

VINCI is a world leader in concessions, energy and construction, operating in more than 120 countries with a workforce of over 294,000 employees. We are a global group with strong local delivery capability.

Spiecapag Australia has been delivering large-scale pipeline infrastructure, trenchless construction and drilling projects across Australia and the Asia-Pacific region for more than 20 years. With continued growth and a strong focus on safety leadership, we are seeking an HR Operations Coordinator to join our HR Team and play a key role in delivering scalable, high-quality HR operations across corporate and project environments.

About this role

Reporting to the HR Operations Manager, the HR Operations Coordinator is responsible for the end-to-end coordination and delivery of core HR operational processes across the employee lifecycle.

This role acts as the central coordination point between HR, Payroll, and Project teams, ensuring seamless onboarding, mobilisation, payroll coordination, and workforce compliance across multiple projects.

The role works across both head office and project environments and requires the ability to manage competing priorities in a dynamic, project-based business.

Where project-based HR & Site Administration support is not in place, the Coordinator will assume direct responsibility for HR administration delivery for those projects.

The role is primarily Brisbane-based and requires a willingness to travel to project sites to provide short-term operational support, develop practical site exposure, and build hands-on project experience. This may include FIFO or DIDO arrangements, when required.

Key responsibilities
  • Coordinate and oversee end-to-end HR operational processes across recruitment, onboarding, mobilisation, and offboarding
  • Ensure workforce readiness, including compliance, documentation, and system accuracy prior to mobilisation
  • Act as the primary coordination point between HR, Payroll and Project teams
  • Own the delivery and integrity of HR data across HRIS and payroll systems
  • Coordinate payroll inputs and resolve discrepancies with internal teams and external providers
  • Work in partnership with HR & Site Administration Officers (Projects) to ensure consistent and compliant HR delivery across sites
  • Support mobilisation planning, workforce tracking, and project readiness requirements
  • Prepare HR operational reporting, including workforce movements, compliance, and metrics
  • Identify and resolve workflow issues, delays, and operational risks
  • Drive continuous improvement across HR processes, systems, and workflows
  • Provide support to Project Managers on HR processes
  • Provide short-term operational support to project teams when required (including potential travel to site)
Experience and qualifications
Essential

  • Experience in HR operations, coordination, or a similar role
  • Exposure to payroll coordination and HR systems
  • Strong understanding of HR administrative processes and employee lifecycle
Desirable
  • Bachelor's degree or higher in Business Administration or Human Resources
  • Experience working in construction, infrastructure, or project-based environments
  • Experience supporting multi-site or FIFO/DIDO workforces

Typically, this role suits candidates with around 3 + years’ experience in a HR Operations and administration within construction, infrastructure or a corporate/project-based environment who are keen to build further project exposure.

Skills and behaviours
  • Strong coordination and stakeholder management capability
  • High level of organisation and attention to detail
  • Ability to manage multiple priorities in a changing, fast-paced environment
  • Strong problem-solving and process improvement mindset
  • Professional, proactive, and accountable approach
  • Strong communication skills across corporate and site teams
